Job Purpose
The Customer Service Executive will play a critical role in the back-office operations, ensuring that the journey from "Order Received" to "Order Dispatched" is seamless. This is a high-coordination role focusing on order accuracy, production scheduling, and proactive client communication.
Key Responsibilities
1. Order Processing & Entry
- Accurately enter domestic and export orders into the system (ERP/Excel).
- Verify technical specifications, quantities, and pricing against the company’s standard catalogs or custom quotes.
2. Order Planning & Scheduling
- Liaise with the production department to determine lead times and dispatch dates.
- Monitor the progress of open orders and update the internal tracking sheet daily.
- Assist in prioritizing "urgent" orders or key account requirements to meet delivery deadlines.
3. Client Relationship Management
- Act as contact point for order status inquiries via email and phone.
- Proactively inform customers of any potential delays and provide updated timelines.
4. Inventory & Documentation
- Track finished goods and raw materials inventory to see if orders can be fulfilled from existing stock.
- Maintain organized digital and physical records of all customer correspondence and purchase orders.
- Preparation of fulfilment reports
Required Skills & Qualifications
- Education: Graduate in any stream (Commerce or Science preferred).
- Experience: 2–4 years in a back-office, order management, or customer service role (Manufacturing industry experience is a major plus).
- Technical Skills: * Advanced proficiency in MS Excel (VLOOKUP, Pivot Tables).
- Familiarity with ERP software or Order Management Systems.
- Soft Skills:
- Strong written English (for professional emailing).
- High attention to detail—must be able to spot a wrong part number or dimension immediately.
- Ability to handle high-pressure days
