Role Overview
You’ll be the first human touchpoint for new leads and a steady partner for existing clients. Your job is to respond fast, guide clearly, book accurately, reduce no-shows, and keep our CRM clean — across calls, WhatsApp, Instagram and walk-ins. It is not about selling; it's a thoughtful, helpful follow-through from first enquiry to confirmed appointment and feedback after visit one.
Key Responsibilities
- Lead response & nurturing
- Reply to Instagram DMs/comments and WhatsApp within SLAs; call new form leads; qualify needs; move each conversation to a clear next step (consultation/ appointment).
- Appointment booking & calendar control
- Book, reschedule and confirm appointments; balance doctor/therapist schedules and room availability; send reminders, pre-visit instructions and location info.
- Follow-ups & show-rate
- Run structured follow-ups on undecided leads; recover no-shows/cancellations; capture first-session feedback the same day and flag issues early.
- Information accuracy (no medical advice)
- Explain treatments at a high level; escalate clinical questions to the doctor; never offer medical advice.
- CRM discipline & documentation
- Keep records complete and tidy: contact details, lead source/UTM, notes, consent status, next-action dates, outcomes; attach before/after feedback where needed.
- Daily reporting
- Maintain simple daily trackers: new leads, contacted, booked, show-ups, re-bookings, and reasons for drop-off; share quick insights on which sources are converting.
Qualifications & Experience
Essential
- 1+ years in inside sales / customer support / clinic front desk (aesthetics, dental, dermatology or premium hospitality preferred)
- Comfort with phone, WhatsApp Business, Instagram, and basic CRM + Google Sheets/Excel
- Fluent in Hindi and English with clear, friendly communication
Preferred
- Experience improving response times, show-rates, or re-bookings
- Familiarity with appointment platforms and simple dashboarding
