Job Summary:
The Shelter Coordinator is responsible for the day-to-day operations of Crosslines Community Outreach’s overnight women’s shelter. This role ensures safe, organized, and compliant shelter operations through active supervision of shelter monitors, coordination of guest services, accurate data collection and reporting, inventory and supply management, and consistent enforcement of shelter policies and procedures. The Shelter Coordinator plays a key role in guest engagement, problem-solving, and communication with staff, volunteers, partners, and the public.
Key Objectives for success:
Shelter Operations & Guest Experience
- Ensure consistent, safe, and well-organized daily operations of the Safe to Sleep shelter.
- Foster a respectful, structured, and welcoming environment for shelter guests.
- Ensure the shelter and related storage areas are clean, stocked, and properly maintained.
Staff & Volunteer Oversight
- Support, supervise, and communicate regularly with shelter monitors to ensure coverage, compliance, and clear expectations.
Data Accuracy & Compliance
- Maintain accurate shelter attendance, reports, HMIS entries, and compliance-related documentation to meet program and partner requirements.
Essential Functions:
Shelter Operations & Coverage
- Oversee shelter operations and report maintenance or safety issues.
- Ensure shelter spaces remain clean, organized, and ready for nightly operations.
- Pick up shelter paperwork each morning and restock sign-in sheets and forms.
- Serve as on-call support for staffing shortages, absences, and staff or volunteer questions.
- Complete and distribute daily shelter report emails.
- Manage the shelter meal calendar.
- Conduct weekly inventory and restock shelter and warehouse supplies as necessary.
- Purchase supplies as needed and manage gift-in-kind donations and tracking.
- Support daily communication with the public regarding shelter services.
Team Leadership
- Model “servant leadership” and provide effective team development by leveraging team member skills and passion to best serve the organization.
- Complete annual performance reviews and quarterly check-ins on goals with direct reports.
- Conduct 1:1 meetings with direct reports at least once a month.
Guest Engagement, Onboarding & Compliance
- Conduct or participate in weekly Wednesday morning guest meetings.
- Manage new guest onboarding, service agreements, photos, and attendance records.
- Manage pod assignment processes and adjustments.
- Review daily reports for compliance concerns and initiate follow-up conversations.
- Enforce shelter rules consistently and participate in compliance and disciplinary actions.
- Demonstrate consistent and professional boundaries in all interactions with guests.
- Prepare warning and discharge letters and maintain barred and discharged guest lists.
- Ensure the privacy and confidentiality of all guests.
Data Management & Reporting
- Manage daily shelter paperwork including attendance, sign-in sheets, chore sheets, pod assignments, photos, and HMIS documentation.
- Enter and maintain accurate daily and weekly shelter attendance data.
- Prepare and send daily, weekly, and monthly shelter reports and partner updates.
- Distribute updated barred and discharge lists to partner agencies as required.
Assessments & Partner Coordination
- Coordinate Burrell assessments as required.
- Communicate guest status updates with partner agencies.

Work Hours:
To bridge the gap between daytime administrative duties and overnight operations, this role requires a non-traditional, afternoon to late evening schedule three days a week and traditional business hours two days a week. Some flexibility exists if objectives are met. Occasional overnight shifts may be necessary to cover staffing absences. Supervisors will regularly discuss schedules to ensure coverage of program needs, and employees must always obtain prior approval from their supervisor to change their schedule.

Education, Experience, and Qualifications:
- Associate’s degree or equivalent experience in shelter operations or human services preferred.
- Experience working with vulnerable populations in a shelter setting strongly preferred.
- Strong organizational, communication, and documentation skills required.
- Ability to enforce policies with professionalism, empathy, and consistency.
- Demonstrated ability to provide exceptional customer service and build relationships with individuals from diverse backgrounds and beliefs.
- Experience working with volunteers is preferred.
- Self-motivated with the ability to meet deadlines and work with minimal supervision.
- High attention to detail and an understanding of the importance of data accuracy for reporting and compliance.
- Must be highly proficient using Windows operating system and Microsoft Office Suite programs.
