Job Description FormPosition Title: Sales Coordinator – Operations, CRM & Planning
Key Responsibilities
1. Sales Planning & Visit Structuring
- Prepare weekly and monthly visit plans on mandate basis for field sales executives based on territory, customer priority, and business potential with support of respective sales person.
- Ensure optimal route planning to maximize productivity and reduce travel inefficiencies
- Allocate focus areas such as key accounts, new customer acquisition, and dormant client reactivation
- Planning as per the seasons of sales.
2. Sales Activity Monitoring & Discipline
- Track daily field activities and ensure adherence to approved visit plans
- Monitor number of visits, quality of meetings, and conversion funnel
- Identify gaps in planned vs actual visits and take corrective actions with the sales team
- Maintenance of Sales Calendars, Order, Pendency’s etc.
- Report analysis of successful order conversion ratio as per the enquiry.
3. Visit Report Analysis & Insights
- Review and analyse Daily Visit Reports and Daily Sales Reports (DSRs & DVRs) submitted by sales team
- Evaluate:
- Customer feedback and requirements
- Connect with the customer to confirm whether they have received that GR’s, Materials, PO’s etc.
- Highlight actionable insights to management for decision-making
- Maintain accurate and structured data for analysis and reporting
- Generate periodic MIS reports with actionable insights (not just data)
4. Sales Performance Analysis
- Track individual and team sales performance against targets
- Analyse the lead and conversion ratios, order value trends, and customer-wise sales patterns
- Identify underperforming areas and suggest corrective strategies
5. Business Growth Planning
- Work closely with Sales Manager to develop monthly and quarterly growth plans
- Identify:
- High-potential industries/customers
- Cross-selling and up-selling opportunities
- Market gaps and new business opportunities
- Support in execution of strategic sales initiatives
6. Cross-functional Coordination
- Align with inventory and procurement team for stock planning based on sales pipeline
- Coordinate with accounts for payment trends impacting sales
- Support management with data-backed inputs for pricing and credit decisions
7. Customer Follow-up & Relationship Management
- Maintain and update customer records, visit details, inquiries, quotations, orders, and communication history in the CRM system.
- Conduct regular follow-ups with customers regarding quotations, pending orders, deliveries, and service requirements.
- Coordinate with the Accounts team for outstanding payment follow-ups and ensure timely collection updates are communicated to the sales team.
- Obtain and record customer feedback on product quality, service levels, delivery performance, and overall customer satisfaction.
- Track customer complaints, concerns, and escalations, ensuring timely resolution through coordination with relevant departments.
- Monitor dormant and inactive customers and initiate reactivation activities through the sales team.
- Ensure CRM data accuracy, completeness, and timely updates by all field sales personnel.
- Generate customer-wise reports on inquiries, conversions, repeat business, payment status, and feedback trends.
- Support customer retention initiatives by identifying potential risks, service gaps, and improvement opportunities.
- Maintain a structured database of key contacts, decision-makers, procurement teams, and technical stakeholders for future business development.
