About the role


We’re looking for a polished, client-focused receptionist who thrives in a fast-paced environment, loves building genuine relationships, and is energized by delivering outstanding service.


In this role, you’ll be the first and last impression for every patient—managing appointments, communications, payments, and daily front office flow while confidently educating clients on treatments, products, memberships, and rewards programs. This is an ideal opportunity for a motivated self-starter with strong communication skills, sharp attention to detail, and a natural ability to connect with people, upsell services, and help drive the continued growth of a top-performing medspa.


Work Schedule:

This is a full time, on-site role with the following working hours:

Monday: 11AM-5:30PM

Wednesday & Thursday: 11AM-6:30PM

Alternating Saturdays: 8:30AM-1:30PM


Responsibilities:

  • Create a warm, welcoming first impression for every patient while managing front desk flow and patient check-in/check-out
  • Answer incoming calls, schedule appointments, and handle confirmations to keep the daily schedule running smoothly
  • Prepare daily client tickets and maintain accurate patient information within the spa software system
  • Process credit card, cash, and check payments with accuracy and professionalism
  • Enroll patients in VIP memberships and manage rewards programs, including Allē and Aspire Rewards, to support retention and revenue growth
  • Conduct proactive patient outreach and confirmation calls to strengthen engagement and reduce schedule gaps
  • Maintain a polished clinic environment through light office upkeep, organization, and stocking as needed
  • Support business growth through special projects such as event coordination, vendor communication, and other team initiatives

Qualifications:

  • 2-3 years of customer experience, preferably in a MedSpa or Aesthetic environment
  • Millennium/ Meevo MedSpa software experience, preferred
  • Demonstrate strong communication, phone, and computer skills in a fast-paced, team-oriented environment
  • HIPAA Compliant
