Key Responsibilities & Accountabilities
1. Strategic & Governance Responsibilities
- Support the formulation and execution of examination strategies aligned with the University’s academic and institutional goals.
- Ensure compliance with UGC, statutory bodies, internal ordinances, and academic council resolutions related to examinations.
- Assist in continuous improvement of examination systems, SOPs, digitization, and risk-mitigation mechanisms.
2. Examination Operations (End-to-End)
- Oversee and coordinate pre-examination, examination, and post-examination activities across all programs.
- Ensure timely execution of:
- Examination schedules and timetables
- Online/offline exam form processes
- Question paper setting, moderation, printing, and secure custody
- Issuance of hall tickets and exam instructions
- Supervise examination logistics including centres, invigilation, flying squads, and contingency arrangements.
- Ensure smooth handling of student and faculty queries related to examinations.
3. Confidentiality, Integrity & Compliance
- Maintain absolute confidentiality of question papers, evaluation processes, results, and sensitive records.
- Ensure strict adherence to SOPs, ethical standards, and anti-malpractice protocols.
- Recommend and initiate disciplinary actions in cases of:
- Examination malpractice
- Paper leakage or misconduct
- Evaluation irregularities
- Support the University in decisions related to postponement, cancellation, or rescheduling of examinations under extraordinary circumstances.
4. Post-Examination & Certification
- Oversee evaluation, moderation, result processing, and timely declaration of results.
- Ensure accurate documentation and secure custody of:
- Answer scripts (used/unused)
- Degree certificates
- Convocation certificates and academic records
- Coordinate grievance redressal related to revaluation, verification, and result discrepancies.
5. Team Leadership & Capacity Building
- Provide operational leadership to examination staff and committees.
- Train, mentor, and evaluate team members for process excellence and compliance.
- Foster a culture of accountability, confidentiality, and continuous improvement.
6. Financial & Resource Management
- Assist in budgeting and monitoring examination-related expenses.
- Ensure cost-effective utilization of resources while maintaining examination quality and integrity.
7. Collaboration & Stakeholder Engagement
Internal
- Work closely with Schools, Deans, Heads of Departments, IT, Admissions, and Academic Administration.
- Coordinate with University leadership for policy approvals and reporting.
External
- Liaise with government agencies, regulatory bodies, auditors, and academic networks as required.
- Represent MIT-WPU in examination-related professional forums, when delegated.
8. Quality Assurance & Continuous Improvement
- Implement quality enhancement initiatives in examination services.
- Receive and evaluate feedback, complaints, and suggestions for system improvement.
- Support audits, inspections, and accreditation requirements related to examinations.
Person Specification
Qualifications
- MBA / Post-Graduate degree from a reputed or premier institution.
- Desirable: PhD and Exposure to higher-education administration or examination systems.
Experience
- Minimum 15 years of overall experience, with at least 5 years in senior managerial or leadership roles.
- Prior experience in university or higher-education examination systems is highly desirable.
