We are searching for a Contract Specialist – Legal & Public Sector whose main responsibility will be to manage Legal team workflows, support public sector and commercial contracts, administer vendor and subcontractor documentation, and research and coordinate licensing and regulatory requirements across multiple states. This position is instrumental in keeping Lockstep’s contractual and regulatory posture accurate and defensible, while balancing rigorous legal/contract analysis with practical business judgement while being highly responsive to internal and external stakeholders. This position requires overlap with U.S. hours.
What you'll own
Reporting to the Senior Vice President of Administration, you will
· Act as a first‑line responder for legal questions routed to the Legal inbox, triaging, researching, and answering or escalating as appropriate. Most of the work has high urgency attached to it requiring good communication to stakeholders re status and turn around on requests within 2 business hours.
· This position works partial U.S. hours – until 1 pm EST.
· Own the customer and vendor contract lifecycles including redlining using internal playbook, following up with stakeholders, saving in appropriate system and following up on renewals or terminations.
· Maintain reusable templates for commonly used documents.
· Maintain EULA library.
· Conduct licensing, regulatory, and compliance research and summarize statutes and board guidance into clear recommendations and next steps for project managers and sales leaders
· Own licensing workflows end‑to‑end, including validating prior applications in state portals, gathering historical documents, submitting applications and maintaining licenses.
· Manage life cycle of subcontractor and temp/recruiter COIs.
· Prepare and submit documents for signature, typically E‑Verify, certifications, and supplier/customer forms.
· Support supplier and vendor onboarding forms.
· Manage W‑9 requests.
· Monitor new vendor notifications.
· Perform annual UCC searches
· Assist with customer offboarding
· Provide a daily handoff at the end of the India workday.
· Create and maintain training reference materials (guides, checklists, reference pages) for recurring legal processes and train stakeholders via video sessions or live meetings where appropriate.
· Develop and maintain clear standard operating procedures (SOPs) for recurring legal and contracting workflows.
· Manage the contract and COI life cycle platform
· Ensure legal and operational controls are in place, adhered to, and regularly monitored.
· Work closely and collaboratively with other team members.
· Perform other duties as assigned
What we're looking for
· 5+ years of experience in contracts, legal operations, or paralegal roles, preferably in environments supporting public sector or K‑12/E‑rate customers.
· Demonstrated experience reviewing, drafting, and redlining vendor, customer, and public sector contracts, including management of versioning and negotiation cycles from intake through execution.
· Strong ability to interpret statutes, regulations, RFPs, and convert them into clear, actionable business guidance for non‑lawyers.
· Experience administering COIs, subcontractor documentation, and vendor onboarding processes, with a disciplined approach to expirations, escalations, and vendor inactivation.
· Proven success managing high‑volume, detail‑oriented workflows under defined SLAs.
· Excellent written and verbal communication skills.
· Fluency with Microsoft 365 tools (Outlook, Word, Excel, SharePoint, Teams), e‑signature platforms (e.g., Foxit eSign), and comfort learning additional internal systems (ConnectWise, Zuno Doculens).
· Must be a self-starter, able to work well under pressure, handle multiple tasks concurrently, attend to details and meet deadlines with limited oversight.
· Ability to systematically analyze and troubleshoot problems.
· Ability to independently achieve results and self-direct work responsibly
· Maintaining confidentiality and appropriately handling sensitive information with tact and discretion
