We're a Canadian real estate development and construction company transforming underutilised properties into modern multi-unit homes, with a strong current focus on home renovations and conversions.

Since 2014, we've completed single-family homes, duplexes, triplexes, and purpose-built rentals across Southern Ontario. We deliver practical, functional homes through design-build construction, renovations, and multi-unit consulting using smart-sizing strategies that make housing more attainable.

We serve real estate investors, first-time homebuyers, and multi-generational families in the Greater Hamilton Area.

With 12+ years in business, we recently won the West End Home Builders' Association (WEHBA) Awards of Distinction for Best Renovation. Our Founder serves as Vice Chair at WEHBA and chairs both the "missing middle" and "infill" subcommittees, and co-created the "Infill Development Bible"—a 400-page industry guide. In November 2024, we secured contracts to build affordable homes for non-profits—3 fourplex and 3 duplex conversion pilots that could expand to 50-100+ properties (200+ units). We're a fully remote, flat organization with 5 core teammates plus 10-15 contractors and consultants, including a Construction Manager, 2 Skilled Laborers, 1 Marketing Manager, and a Bookkeeper across Hamilton and Pakistan. We restructured in 2023 to operate lean and efficiently while scaling our impact across Southern Ontario.

About the Role

We're looking for a remote Construction Project Controls Manager to strengthen execution discipline and protect margin as we scale—serving as the operational backbone across estimation, process enforcement, and documentation discipline.


In this role, you'll own the numbers from front to back. You estimate, scope, and price on the front end, then protect those numbers through budget tracking, change order discipline, and variance reporting. You build and enforce the processes that keep 5-10 concurrent projects running cleanly. You build solid relationships with clients, subtrades, suppliers, and municipal authorities. Every project lands on time, on budget, and estimated correctly—that's your north star.

This is not a passive coordination role. You are the deal desk—every project runs through you. You speak up when something is incomplete, unclear, or at risk. You hold the team accountable to agreed processes, including leadership.


Our IDEAL CANDIDATE brings 6-10+ years owning estimation, protecting margin, and keeping complex construction projects on track from start to finish. You read technical drawings, build material takeoffs, apply margin correctly, and track budget discipline through project close. You're ruthlessly organized and proactive—you build and enforce process without apology, including upward. You don't wait to be asked. You hunt down loose ends, push for clarity before numbers are finalised, and follow up persistently until every commitment is closed. Leadership focuses entirely on growth and sales because they trust nothing falls through the cracks behind them.

Performance Metrics: Your performance will be measured by estimate accuracy and margin protection, clean change order documentation, early variance flagging, and consistent reduction of operational noise for leadership.

What Success Looks Like in This Role:

  • Every project entering construction has a clear scope, accurate estimate, and protected margin
  • Budgets, change orders, and costs are tracked with discipline and transparency
  • Project risks are identified early and resolved before they impact schedule or profitability
  • Leadership and the construction team always have clear, reliable numbers to support decisions

Reporting Structure: You'll collaborate closely with our site leadership, finance function, subtrades, suppliers, and clients. This position reports directly to our CEO.

You’ll be doing things like:

  • Lead Intake & Pre-Sales Support: Intaking new leads and organizing project data while sales conversations are led internally; capturing scope, budget, and timeline inputs before proposals go out; following up with leads to keep deals moving forward
  • Estimation & Margin Protection: Owning the first pass of every estimate as leads convert; preparing material takeoffs and high-level cost figures from technical drawings and specs; maintaining and protecting the estimating and pricing sheet for every active project; pricing correctly on the front end and tracking margin through the full project lifecycle to prevent downstream erosion
  • Budget & Change Order Control: Reviewing biweekly budget vs. actuals reports; flagging variances and risks early; maintaining budget discipline from first estimate through project close; tracking and documenting all scope changes; reforecasting budgets based on approved changes; ensuring every addition or reduction is captured, priced, and approved
  • Quote Request & Analysis: Requesting quotes from trades and suppliers via our partner network, referrals, and Google; comparing quotes apples-to-apples and identifying missing scope items; leveraging AI tools to surface gaps; providing analysis to support selection of the best-fit trade or supplier for each job
  • Project Tracking & Accountability: Proactively tracking each project stage for on-time, on-budget delivery; following up persistently with trades, suppliers, municipal authorities, and internal team members until every commitment is closed; surfacing risks before they escalate; ensuring leadership never has to chase a status update
  • Process Documentation & Enforcement: Building and documenting operational processes and SOPs from scratch; creating accountability systems and checklists so the team can't skip steps; holding internal stakeholders accountable to agreed processes—pushing back when inputs are incomplete, unclear, or late
  • Client Communication & Operational Reporting: Drafting regular client project updates—targeting daily or near-daily touchpoints inspired by Unreasonable Hospitality; maintaining structured internal reporting across all active projects; building operational dashboards where possible; participating in weekly Level 10 meetings and scorecards
  • Project Documentation & Administration: Managing contracts, proposals, and agreements; drafting agreements from templates; coordinating electronic signatures; maintaining clean digital project files in Google Drive; managing new job setup as leads convert to active projects
  • Property Management: Managing the shared Property Support mailbox; coordinating repairs and maintenance as needed

Skills & Qualifications

  • 6-10+ years in roles like Construction Project Controls Manager, Construction Operations Manager, Construction Project Manager, Construction Estimator, or similar in residential or commercial construction
  • Proven estimation experience including material takeoffs, labour costing, and margin application
  • Expertise in reading and analysing technical drawings, specs, floor packages, HVAC designs, plumbing plans, and trusses
  • Strong construction budgeting experience including budget vs. actuals analysis and variance reporting; solid grasp of change order management and scope control discipline
  • Tech-savvy with the ability to evaluate, implement, and optimise project management and construction tools
  • Ruthlessly organised with the ability to maintain clean systems across multiple active projects simultaneously
  • Exceptional written and verbal communication across clients, trades, suppliers, and internal stakeholders—you overcommunicate by default
  • Proven ability to build, document, and enforce operational processes from scratch
  • Comfortable holding teammates and leadership accountable firmly and diplomatically—pushing back on incomplete scopes, unclear inputs, or missed deadlines
  • High EQ, persuasion skills, and a proactive solutions-oriented mindset; positive energy aligned with our STRIVE values

Bonus if you also have:

  • AI and automation experience—building dashboards, automating workflows, using tools like Claude, ChatGPT, or similar
  • PMP or Google Project Management Certification
  • Experience with development approvals, permitting, and municipal coordination
  • Familiarity with Gantt charts and advanced scheduling methodologies
  • Track record of longer tenures (3+ years per role)
  • Familiarity with our tools: MS Office Suite, Microsoft Teams, HubSpot CRM, Asana, ClickUp, Monday.com, time tracking tools

Position Details

Working Hours: Fixed core hours 9AM-5PM ET (±1 hour flexibility). Adjusts with Daylight Saving Time.

Employment Type: Full-time (40–50 hours/week), Exclusivity Preferred

Education: Degree preferred but not required—we value proven experience

Level: Senior (6+ years of relevant work experience)

Compensation: ~CAD $1,212-$1,598 (INR 110K-145K)/month, based on experience and region. Structured as a Consultant Agreement (independent contractor), meaning you'll be responsible for your own taxes, benefits, and insurance.
