Compliance & Onboarding Officer Department: Compliance
Reports to: Head of Compliance
Business Areas: PBSA (Purpose‑Built Student Accommodation) & Block / Property Management
Location: Office‑based (Newcastle upon Tyne), with travel to properties required during onboarding activity
Pay: From £30,000.00 per year
Role Purpose
The Compliance & Onboarding Officer supports the Head of Compliance by delivering practical, operational compliance across the property portfolio. The role has a strong focus on property onboarding, building‑level compliance checks, and maintaining accurate compliance records.
The position is primarily office‑based, with an expectation of site travel when property onboarding or inspections are required. A key part of the role is attending buildings to complete onboarding visits, develop and maintain asset registers, document compliance issues, and assess the condition of Mechanical & Electrical (M&E) systems.
When onboarding activity is not taking place, the role supports day‑to‑day compliance management across the portfolio and provides assistance to Property Shield with Health & Safety activity, reporting, and compliance support.

Key Responsibilities
Property Onboarding & Building Compliance
- Attend properties during onboarding or acquisition phases to carry out physical compliance inspections where required.
- Compile and maintain accurate and up‑to‑date asset registers, recording building systems, safety assets, plant, and equipment.
- Inspect and document the condition of M&E systems, including (but not limited to) fire systems, electrical installations, water systems, gas, lifts, and ventilation.
- Clearly identify, record, and report compliance gaps, defects, and condition issues following site visits.
- Ensure all onboarding documentation and evidence is correctly recorded and stored within company compliance systems.
Statutory & Operational Compliance Support
- Support the ongoing management of statutory compliance across the property portfolio.
- Assist with monitoring compliance trackers to ensure inspections, testing, and servicing cycles are completed on time.
- Support the collation and maintenance of compliance evidence to ensure audit readiness.
- Assist with internal compliance inspections and follow‑up actions to completion.
Property Shield & Health & Safety Support
- Support Property Shield with Health & Safety activity across the portfolio.
- Assist with H&S inspections, reporting, and documentation.
- Help ensure Health & Safety actions are accurately logged, monitored, and followed through.
- Support compliance‑related reporting and data collection where required.
Reporting, Records & Communication
- Produce clear, factual compliance and onboarding reports following site visits and reviews.
- Maintain accurate digital records, ensuring documentation is complete, accessible, and up to date.
- Liaise with internal teams including Property Management, Operations, and Maintenance to support compliance requirements.
- Escalate significant compliance issues or recurring concerns to the Head of Compliance.
Skills & Experience
Essential:
- Experience in a compliance, property, facilities, or building‑related role.
- Working knowledge of property compliance and building safety requirements.
- Confident in carrying out building inspections and documenting findings.
- Strong administrative and organisational skills with excellent attention to detail.
- Comfortable working with compliance systems, spreadsheets, and digital document management.
- Willingness to travel to properties when onboarding activity requires it.
Desirable:
- Experience in PBSA, block management, or residential property portfolios.
- Familiarity with M&E systems and asset condition reporting.
- Health & Safety experience or training (e.g. inspections, reporting, or compliance support).
- Working toward or holding a relevant property or compliance qualification (e.g. Propertymark, IOSH).
