About the Role
We're looking for a detail-oriented and proactive Company Secretary to join us as a core operations hire, reporting directly to the founders. This is a high-trust, high-ownership role where you'll be the backbone of our financial and administrative operations — keeping the agency running smoothly behind the scenes so our creative teams can focus on delivering great work.

Key Responsibilities
Invoicing & Revenue Recovery
- Prepare, send, and track client invoices in a timely and accurate manner
- Maintain an up-to-date accounts receivable tracker and follow up on outstanding payments
- Ensure full revenue recovery with minimal delays or overdue accounts
- Coordinate with the founding team to flag at-risk payments and escalate where needed
Agreements & Client Follow-ups
- Draft, review, and manage client agreements, MOUs, and engagement letters
- Track agreement status and ensure timely sign-offs from all stakeholders
- Maintain an organised repository of all active and archived agreements
- Proactively follow up with clients on pending documentation and approvals
HR & Payroll Operations
- Generate accurate monthly salary slips for all employees
- Maintain and update employee leave records, attendance logs, and leave balances
- Coordinate with founders on leave approvals and policy adherence
- Assist in onboarding documentation and employee record management
Vendor Finance Management
- Manage end-to-end finances for agency vendors including invoice processing and payment tracking
- Maintain vendor payment schedules and ensure timely disbursements
- Reconcile vendor accounts and flag discrepancies
- Liaise with vendors to resolve billing issues and maintain healthy working relationships
Founder Schedule & Calendar Management
- Manage and maintain day-to-day calendars for the founders, including meetings, calls, and appointments
- Coordinate scheduling across internal teams, clients, and external stakeholders
- Send timely reminders and prepare brief agendas or context notes ahead of key meetings
- Handle rescheduling, conflicts, and last-minute changes with minimal disruption
What We're Looking For
- 1–3 years of experience in operations, accounts, or an executive assistant / secretary role
- Strong working knowledge of invoicing, basic accounting, and contract documentation
- Proficiency in MS Excel / Google Sheets; familiarity with tools like Zoho, Tally, or QuickBooks is a plus
- Excellent written and verbal communication skills in English
- High attention to detail with a structured, process-driven approach to work
- Comfortable working in a startup / agency environment with shifting priorities
- Trustworthy, self-driven, and able to operate with minimal supervision
