Job Summary
The Credit Administration Specialist provides operational and compliance support to the Credit Administration Department by coordinating appraisal ordering and documentation, overseeing construction monitoring activities, and preparing loan committee packages. The Specialist also conducts Regulation B (fair lending) loan file reviews to confirm required notices and documentation are accurate and timely, and supports portfolio tickler and covenant tracking, audit and exam requests, and ongoing process improvement initiatives through strong stakeholder coordination and meticulous recordkeeping.
Essential Duties and Responsibilities
Appraisal Desk Administration
- Coordinate and manage the appraisal ordering process in compliance with appraisal independence requirements.
- Serve as the primary point of contact for appraisal vendors, internal stakeholders, and third-party management companies.
- Track appraisal status, review reports for completeness and policy adherence, and ensure timely delivery.
- Maintain appraisal documentation within credit files and systems in accordance with regulatory and internal policy standards.
Construction Monitoring Oversight
- Coordinate construction monitoring activities for construction and renovation loans.
- Review inspection reports, draw requests, and support documentation for accuracy and compliance.
- Track construction progress, budget adherence, and exception items.
- Escalate issues, delays, or variances to credit officers and relationship managers as appropriate.
Loan Committee Package Preparation
- Prepare and assemble comprehensive loan committee packages,
Regulation B (Reg B) Loan Reviews
- Conduct reviews of loan files to ensure compliance with Regulation B and fair lending requirements.
- Verify timely and accurate adverse action notices and documentation.
- Assist with remediation efforts and ongoing process improvements.
General Credit Administration Support
- Provide administrative and operational support to the Credit Administration team as needed.
- Assist with Lending Portfolio Tickler and Covenant Tracking
- Support internal audits, regulatory exams, and independent reviews by gathering and organizing requested documentation from loan officers and underwriter as requested.
- Participate in special projects and process improvement initiatives related to Credit Admin.
Minimum Qualifications
General Requirements – Credit Administration Specialist (Northern California)
Education
- Bachelor’s degree in Finance, Accounting, Business Administration, Economics, or a related field required or strongly preferred
- Relevant banking or credit experience may be considered in lieu of a degree, depending on role level
Experience
- 2–5+ years of experience in one or more of the following:
- Credit administration
- Loan operations
- Credit analysis or underwriting
- Commercial or consumer lending support
- Higher‑level or senior roles may require additional years of related banking experience
Core Credit & Banking Knowledge
- Working knowledge of:
- Commercial and/or consumer loan documentation
- Credit approval, renewal, and modification processes
- Loan covenants, ticklers, and maturity tracking
- Fundamental credit underwriting principles
- Familiarity with credit policies, risk ratings, and portfolio monitoring practices
Regulatory & Compliance Knowledge
- General understanding of applicable banking regulations and internal controls, including:
- Bank Secrecy Act (BSA)
- Anti‑Money Laundering (AML)
- OFAC
- Internal audit and regulatory examination requirements
- Ability to support credit activities in compliance with bank policies and regulatory standards
Technical & System Skills
- Proficiency in Microsoft Excel, Word, and Outlook
- Experience with loan origination, credit, or document management systems (e.g., nCino or similar platforms) preferred
- Ability to maintain accurate electronic credit files and generate standard reports
