Administrative Specialist - Supply Chain & Cyber Security
Both our Supply Chain Management and Cyber Security departments' ability to operate and perform efficiently is dependent upon you! This role is highly visible in supporting the success of the respective leadership teams in each area. If you are excited about providing a variety of specialized administrative support functions to the Supply Chain and Cyber Security departments, from managing logistics to assisting with projects of moderate complexity, this may be the opportunity for you!
A day in the life of an Administrative Specialist may include:
- Maintaining and updating calendaring systems, coordinating scheduling, and making reservations and travel arrangements
- Updating and maintaining records, reference materials, and assisting with the design and maintenance of record retention procedures and systems
- Reviewing and processing invoices for payment, assigning account numbers, tracking expenditures, reconciling and reporting on budget account balances, and authorizing expenditures from petty cash
- Coordinating production of newsletters, publications, and presentations, and maintaining electronic postings for websites
- Supporting the handling of confidential personnel issues, including processing documents and performing any associated compliance administration
- Advising others on administrative procedures and providing training and instruction as needed
- Tracking and supporting contract processes and acting as a liaison with external vendors
- Generating reports, spreadsheets, RFPs, publications, and presentations
- Preparing and proofreading letters, memos, reports, and other correspondence
- Assisting the public with explaining organizational policies, rules and procedures, responding to inquiries and complaints regarding utility services, and researching and directing questions to appropriate personnel
Who You Are
- Demonstrated experience in an administrative or customer support capacity is valued
- Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Teams
- Experience with managing calendars and schedules
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
- Exerts up to 10 lbs. of force occasionally and/or small amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
