REPORTS TO: VP/Loan Processing Manager
The Loan Assistant supports the Loan Officer and borrower throughout the front-end mortgage process, primarily from pre-application through early processing, with continued coordination through underwriting and closing. This role increases Loan Officer capacity, responsiveness, and sales effectiveness by managing administrative functions, ensuring file accuracy, and maintaining consistent communication with borrowers and internal partners.
The Loan Assistant must have a strong understanding of the loan process to anticipate needs, review documentation for completeness, and help prevent delays.

- Communicate loan structure details and file intricacies effectively with Processing and Underwriting
- Understand construction timelines, draw processes, and change order procedures (for construction loans)
- Maintain accurate records within the Loan Origination System (LOS) and related platforms
Analytical Thinker –
- Review loan files for completeness and identify missing documentation
- Analyze application data to ensure consistency and accuracy
- Ensure preliminary documentation aligns with loan structure before submission
- Identify workflow improvements to enhance efficiency
What You'll Do:
- Assist with pre-qualification data collection and preparation of pre-qualification letters (as needed)
- Collect outstanding documentation, including:
- Homeowner’s insurance
- Full bank statements (all pages)
- Application-related supporting documents
- Follow up with borrowers on routine documentation requests
- Keep the Loan Origination System (LOS) updated and accurate
- Prepare loan summaries for Loan Officer review
- Set up and maintain loan files on shared drives and Mortgage Bot
- Submit files to Processing and Underwriting once signed applications and preliminary documentation are received
- Maintain CRM accuracy and loan tracking systems
- Track loan status and maintain updated pipeline reports
- Monitor documentation timelines to prevent delays
- Send reviewed appraisals to borrowers
- Provide status updates to borrowers, realtors, and Loan Officers
- Coordinate scheduling and logistical details throughout the loan process
- Track loan status and update pipeline/CRM systems
- Manage rate locks, disclosures, and file organization
- Support underwriting and closing coordination
- For construction loans:
- Monitor project timelines
- Process construction draws and change orders
- Prepare approved extensions or modifications
- Provide project updates to Loan Officers

Requirements
- High school diploma or equivalent
- Strong understanding of residential mortgage loan processes
- Experience with Loan Origination Systems (LOS) and CRM platforms
- High attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to manage multiple files simultaneously
- Knowledge of construction lending processes (preferred, if applicable)
