About the RoleWe are looking for a proactive and result-oriented Clinic Manager to oversee the daily operations, team management, client experience, and business performance of the clinic. The ideal candidate should possess strong leadership, operational, customer service, and sales management skills while ensuring smooth clinic functioning and achievement of business targets.
Key Responsibilities
Clinic Operations & Discipline- Ensure smooth day-to-day clinic operations and maintain high standards of discipline.
- Monitor staff attendance, punctuality, grooming, and professional presentation.
- Ensure all departments follow clinic protocols, SOPs, and hygiene standards.
- Maintain professional conduct across reception, consultation rooms, and treatment areas.
- Oversee clinic opening/closing procedures and ensure readiness for daily operations.
Team Management & Leadership- Supervise front office staff, therapists, and support teams.
- Conduct regular staff meetings, training sessions, and performance reviews.
- Counsel employees regarding discipline, grooming, attendance, and behavior when required.
- Create motivational and incentive initiatives to improve team productivity.
- Manage staff scheduling, leave coordination, and rotational duties.
Sales & Business Targets- Drive monthly clinic revenue and operational targets.
- Monitor consultations, conversions, renewals, package sales, and procedure performance.
- Strategize for monthly ROI growth and business development opportunities.
- Develop customized client packages aligned with business profitability and client requirements.
- Support upselling and prepaid treatment packages to improve retention and revenue.
Client Relationship & Retention- Personally handle escalated client concerns and ensure timely resolution.
- Ensure excellent patient experience and service quality at all touchpoints.
- Monitor follow-ups, appointment scheduling, reviews, and treatment continuity.
- Maintain strong client retention through regular engagement and relationship management.
- Coordinate special occasion wishes, referral appreciation, and loyalty initiatives.
Marketing & Brand Management- Support clinic-level marketing and promotional activities.
- Maintain strong brand visibility through in-clinic branding and digital engagement.
- Coordinate social media engagement, reviews, testimonials, influencer collaborations, and events.
- Ensure availability and proper display of marketing collaterals.
- Generate before/after treatment content and client testimonials for marketing purposes.
Clinic Maintenance & Inventory- Ensure cleanliness, hygiene, and maintenance of all clinic areas and equipment.
- Monitor housekeeping schedules and stock management processes.
- Maintain inventory records and supervise audits of products, consumables, and cash handling.
- Ensure timely servicing and maintenance of clinic equipment to avoid operational downtime.
Accounts & Reporting- Monitor daily collections, petty cash, billing accuracy, and banking activities.
- Ensure all financial transactions and clinic accounts are properly maintained.
- Prepare daily, weekly, and monthly operational and sales reports.
- Maintain records related to stock, clinic performance, and operational audits.
Treatment Coordination- Ensure treatment schedules are managed effectively without operational conflicts.
- Coordinate machine availability and procedure scheduling across clinics when necessary.
- Monitor adherence to treatment protocols and quality standards.
- Support clinical procedures when required.
Required Skills & Qualifications- Bachelor’s degree in Healthcare Administration, Management, Business Administration, or related field.
- Prior experience in clinic, healthcare, wellness, or aesthetic center management preferred.
- Strong leadership, communication, and organizational skills.
- Excellent customer service and problem-solving abilities.
- Experience in sales management, client handling, and team supervision.
- Ability to multitask and manage operations in a fast-paced environment.
