Role Overview:
We are hiring a Client Onboarding Specialist to own the end-to-end journey of bringing new clients into the firm — from the first enquiry to a seamless handover to the service team. You will be the face of the firm for every new client, ensuring they feel informed, supported, and confident from day one. This is a critical, high-visibility role that sits at the intersection of compliance, client experience, and operations.
Key Responsibilities:
• Be the first point of contact for new clients and own the onboarding journey from initial enquiry through to handover to the service team.
• Confirm the agreed scope of services with the partner and client.
• Ensure fees and direct debits are in place before any work begins.
• Act as the client's main point of contact throughout onboarding — provide a clear roadmap, respond to queries promptly, and chase outstanding documents respectfully but persistently.
• Run a warm handover to the service team once everything is in place.
• Set clients up accurately in the firm's practice management software and cloud bookkeeping platforms (Xero, QuickBooks, Sage, Free Agent), ensuring data integrity from day one.
• Use Excel confidently to track the onboarding pipeline, reconcile client lists across systems, and produce weekly management reporting.
• Maintain audit-ready onboarding files and support practice assurance and AML inspections.
• Contribute ideas to improve the firm's onboarding process and templates.
• Send onboarding welcome packs including service guides, key contacts, deadline calendars, and portal instructions.
• Maintain a working knowledge of UK AML legislation, HMRC agent processes, Companies House reforms, and supervisory body guidance.
• Register new clients for relevant taxes where required — Self Assessment, Corporation Tax, VAT, and so on.
• Coordinate with the outgoing accountant to ensure a complete handover, including working papers, fixed asset registers, capital allowances pools, and brought-forward losses.
• Communicate with HMRC, Companies House, and other regulatory bodies to resolve authorisation, registration, and onboarding-related queries on behalf of clients.
What are we looking for:
• Bachelor's degree
• Strong verbal and written communication skills — clear, professional, and client-friendly.
• An active listener who can understand client concerns and build trust quickly.
• Prior experience in client onboarding, KYC/AML, practice management, or a similar client-facing compliance role is preferred.
• Prior experience with cloud accounting software and CRM/practice management tools will be advantageous.
• Detail-oriented, organised, and able to manage multiple onboarding cases simultaneously.
• Curiosity to keep up with UK AML legislation, HMRC agent processes, and Companies House reforms.
