Job Description
The Invoicing Analyst is responsible for managing end-to-end client billing within the asset management business, ensuring accurate calculation, generation, and delivery of invoices in accordance with Investment Management Agreements (IMAs), fee schedules, and regulatory requirements. This role sits at the intersection of fund accounting, revenue management, and client servicing, with direct impact on revenue recognition, client experience, and financial reporting.
Primary Job Duties And Responsibilities
Client Fee Calculation & Invoice Processing
- Prepare and generate management fee, performance fee, and expense invoices for institutional and retail clients
- Validate billing inputs (AUM, fee rates, breakpoints, discounts) against IMAs and fee schedules
- Ensure invoices are issued accurately and within monthly / quarterly billing cycles
Billing Accuracy & Reconciliation
- Perform detailed reconciliation of billing data vs. fund/accounting records (NAV, AUM, transactions)
- Analyze variances in fees and investigate discrepancies prior to invoice release
Client & Stakeholder Interaction
- Engage with Sales, Relationship Management, Accounting teams for billing inputs
- Ensure billing reflects contractual changes (new mandates, fee revisions, fund launches/closures)
Controls, Compliance & Audit
- Ensure billing processes comply with: Internal controls, Regulatory and contractual obligations, Maintain audit trails, documentation, and support audit inquiries
- Identify control gaps and recommend process improvements
Minimum Job Specifications
- Strong domain knowledge of the Asset Management industry, with operational experience in accounting, onboarding, invoicing, or other finance functions.
- Advanced Excel and experience with billing/accounting systems, Analytical mindset with problem-solving ability
- High attention to detail and accuracy
- Excellent teamwork and collaboration skills, with a strong client focus and commitment to business delivery. Proficient in written and verbal communication.
- Ability to prioritize multiple responsibilities and meet both internal and external deadlines effectively.
- Bachelor’s degree of commerce (or equivalent qualification).
