Position Summary
The Clinical Operations Manager is responsible for overseeing clinical staffing, workforce development, training, compliance, and operational efficiency across all CityDoc clinic locations. This leadership role partners closely with providers, administrative leadership, and clinic teams to ensure high-quality patient care, regulatory compliance, staff competency, and operational excellence.
This position plays a key role in supporting daily clinic operations, developing clinical staff, driving performance improvement initiatives, and maintaining consistent standards across all locations.
Duties & Responsibilities
Staffing & Operational Oversight

Ensure all clinic locations are appropriately staffed based on patient volume and operational needs

Develop and adjust staffing plans to optimize coverage, reduce overtime, and improve efficiency

Support Clinical Coordinators in managing daily clinic operations and workflow needs

Analyze patient flow and implement operational improvements to enhance clinic efficiency

Coordinate building maintenance needs and operational support across clinic locations

Log and escalate system or IT-related issues impacting clinic operations
Training & Workforce Development

Develop, coordinate, and oversee clinical training programs for all back-office staff

Coordinate onboarding and orientation for new clinical team members

Facilitate ongoing education and professional development opportunities

Ensure staff maintain required certifications and competencies (e.g., CPR/BLS, clinical skills)

Provide coaching, mentorship, and support to Clinical Coordinators and clinical staff
-
Promote a culture of accountability, engagement, and continuous improvement

Oversee training, workflow implementation, and staff readiness related to EHE and VES programs
Compliance & Quality Assurance

Ensure adherence to company policies, accreditation standards, infection control requirements, and safety protocols

Support and maintain the organization’s Quality Assurance/Performance Improvement (QA/QI) program

Monitor clinical performance trends and implement corrective action plans when needed

Ensure accuracy and completeness of clinical documentation within the EHR

Oversee infection control practices and ensure universal precautions are consistently followed

Assist with accreditation readiness, audits, competency validation, and regulatory preparedness

Monitor EHE and VES operational quality metrics, compliance standards, and service consistency across clinic locations
Inventory & Clinical Resource Management

Oversee clinical inventory, including medications, vaccines, and medical supplies

Monitor stock levels and expiration dates across all clinic locations

Ensure medical equipment and supplies remain functional and readily available
Reporting & Leadership Communication

Prepare and present monthly leadership reports for administrative meetings

Contribute to quarterly Board of Directors reports, including staffing metrics, workforce development insights, compliance trends, and operational performance

Collaborate with leadership to align workforce strategies and operational goals

Track and report operational performance, training completion, and workflow improvement initiatives related to EHE and VES services
Shared Leadership Responsibilities

Work 1–2 back-office clinical shifts per week to support clinic operations and maintain clinical competency

Participate in leadership meetings, committees, and organizational initiatives

Assist in the development and implementation of company policies and procedures

Identify opportunities to improve staff efficiency, reduce operational costs, and enhance workflow processes

Perform additional duties and special projects as assigned by CityDoc leadership to support operational and organizational needs
