Essential Functions:

  • Manage and maintain calendars, including scheduling meetings, appointments, and travel arrangements
  • Coordinate internal and external meetings, including preparing agendas, presentations, and meeting materials
  • Serve as a liaison between executives, employees, clients, and external partners
  • Organize and maintain confidential files and records
  • Assist with special projects, events, and executive initiatives
  • Maintain professionalism and confidentiality in all interactions and communications
  • Manage event timelines, schedules, and detailed event plans
  • Monitor event budgets and track expenses to ensure events stay within financial guidelines
  • Prepare, proofread, and format legal documents, and correspondence
  • Organize and maintain case files, legal records, and documentation
  • Track deadlines and ensure timely filing of legal documents
  • Perform general administrative duties such as managing correspondence, and data entry
  • Proactively maintain the department docket and calendar to track insurance renewals, audits, and critical regulatory filing dates
  • Partner with the WPS team to facilitate end-to end claim handling, including coordinating legal discovery and evidentiary documentation
  • Act as a central point of contact between internal department and external partners to ensure seamless information flow regarding ongoing legal/insurance matters

Education & Experience:

  • Associate or bachelor's degree in business administration, legal studies, or related field preferred
  • 2+ years of experience supporting senior executives
  • Proficient PC skills in CRM and Enterprise Resource Planning (ERP) systems- Produce Pro, Microsoft Office (particularly Excel), and common E Mail systems

Physical Demands:

  • Stand or sit for long periods of time

Compensation:

  • $25.00/hour
