The ideal candidate in this position will perform a variety of office support and clerical duties and activities of a general and specialized nature for an assigned office. They will type a variety of documents and correspondence. They will maintain a variety of files and records. They will receive and direct telephone calls and visitors. They provide a variety of information to other agencies, City staff, and the general public. They may receive, route, and distribute incoming and outgoing mail.

We currently have one vacancy in the City Clerk's Office in which hiring will begin immediately following the close of this recruitment. This recruitment will also establish a list for future vacancies, which will be filled as they occur.

Position Duties

  • Assist other City staff, the general public, and outside groups and agencies by providing information related to specific program area of assignment; receive in-person office visitors and telephone callers including answering multi-line telephone system; respond to complaints and requests for information relating to assigned responsibilities; refer callers to appropriate City staff for further assistance as needed; distribute appropriate forms and materials; accept applications and payments.
  • Verify and review materials, applications, records, and reports for completeness and conformance with established regulations and procedures; apply applicable policies and procedures in determining completeness of applications, records, and reports; provide information and forms to the public; collect and process appropriate information.
  • Maintain accurate and up-to-date office files and records for assigned areas; prepare and monitor various logs, accounts, and files for current and accurate information; organize and maintain filing systems.
  • Perform a variety of routine clerical accounting duties and responsibilities involved in financial record keeping and reporting for assigned area; maintain a variety of accounting records, logs, and files.
  • Type, word process, format, edit, revise, proofread, and print a variety of documents and forms including notices, reports, general correspondence, agreements, claims, and other documents from rough draft or verbal instructions; compose routine correspondence; copy, disseminate, and post documents and information as appropriate.
  • Compile, prepare, and enter data into a computer from various sources including accounting, statistical, and related documents; create and maintain computer based tracking information and reports including assigned databases, records, and lists; input corrections and updates; verify data for accuracy and completeness; assist in the compilation of reports.
  • Process mail including receiving, sorting, and distributing external and internal incoming and outgoing mail for assigned area.
  • Maintain and order forms, supplies, and other materials for assigned office and programs; prepare purchase orders; receive invoices and check for accuracy; process payments.
  • Operate a variety of office equipment including a computer, typewriter, switchboard, copier, facsimile machine, adding machine, and computer; utilize various computer applications and software packages.
  • As assigned, process payroll or provide assistance in processing payroll for the assigned area; calculate and verify hours on each time card to ensure compliance with applicable contracts; enter hours for all employees into computer; prepare and audit paychecks for accuracy; distribute paychecks to employees and respond to questions and inquiries.
  • As assigned, prepare documents for various meetings; attend meetings; take transcribe, and assure proper distribution of minutes.
  • As assigned, disburse and collect money; issue and maintain receipts; maintain accurate records of money collected and disbursed; reconcile accounts; deposit money.
  • Perform related duties as required.

Minimum Qualifications

The following minimum qualifications are required to be met at the time of application.

Education:
High school diploma or equivalent.

Experience:
Two years of increasingly responsible general office support and clerical experience at a level comparable to an Office Assistant I with the City of Reno.

Examination Process:
Applicants must meet the minimum qualifications and pass the examination for this position to be eligible for hire. The examination will consist of an Online Written Skills Test, along with a Training and Experience evaluation (T&E) weighted as follows:
Online Written Skills Test = 80%
Training & Experience Evaluation (T&E) = 20%

Online Assessment Details:
Qualified applicants will be invited to participate in the Online Written Skills Test once the recruitment has closed. This test will be self-administered with no proctor, which means candidates will be able to complete them online at their convenience during the designated testing window.

Training and Experience Evaluation (T&E) Details:
The T&E examination consists of a Supplemental Questionnaire. The questions may be viewed online under the tab marked "QUESTIONS" on the job announcement page. The T&E must be submitted online at the time of application.  

  • Responses to your T&E questions should be consistent with the information given in your application details. Answers are subject to verification.
  • Failure to complete all of the questions or incomplete responses will result in a lower score; therefore, it is advantageous for you to provide a full and complete response to each supplemental question.
  • In order to receive credit for education or training, you must attach copies of your transcripts, diploma, or relevant certificates to your online application.
  • Resumes or questionnaires uploaded as attachments to the application will not be accepted in lieu of completing each question online.
  • "See Resume" or "See above," etc., are not qualifying responses and will not be considered.
  • Changes or corrections to your responses cannot be made once your application packet has been submitted.

Employee/Veteran Preference in the Event of Tie Scores:
Open Competitive Examination (Rule VII, Section 7):
 In the event of tie scores, candidates will be provided a rank preference in the following order:

  1. City of Reno classified employees who are veterans 
  2. City of Reno classified employees who are not veterans
  3. City of Reno non-classified employees and external candidates who are veterans

This preference is only used to break ties. Proof of honorable discharge must be submitted with the application.


Appointment and Certification:
Appointments to positions in the City's Civil Service system are made on the basis of examination. Scores resulting from a competitive examination are used in determining a person's rank on an eligible register. The department may hire any of the persons referred. The names of those persons not hired may be considered when the next vacancy occurs, for as long as that register is viable.


Probationary Period: 
Certification of Eligibles, Appointments, and Probation (Rule VII, Section 12)
Classified employees who are newly hired, promoted, reclassified, transferred, or who voluntarily demote to a lower position are subject to a probation period.

The only exception is if an employee chooses to voluntarily demote back to the exact job they previously held within 24 months of being promoted.
