About the Department
This position is responsible for coordinating the city's accounts payable operations. The work consists of related technical and customer service duties. Successful performance ensures the accuracy and efficiency of city financial transactions. FLSA status is Non-Exempt.
Position Duties
The following duties are normal for this classification. PROCUREMENT CARD PROCESSING (40%)
Reconciles procurement card statements.
Matches purchase orders and support for procurement transactions.
Assists department in collecting credits due.
CHECK PROCESSING (35%)
Matches purchase orders and support for check runs.
Prepares and mails checks.
Coordinates City department check and vendor pick up.
Prepares and records cashier check requests.
Records ACH Processing.
ACCOUNTS PAYABLE DUTIES (15%)
Answers Accounts Payable questions for vendors and City departments.
Prepares accounts payable spreadsheet at year end.
Contacts City departments to update purchase orders to match invoices.
Enters requisitions for various transactions.
OTHER RELATED DUTIES (10%)
Retrieves files as requested.
Performs other duties as needed or assigned.
Files and requests certificate of liability.
Minimum Qualifications
High School Diploma/GED is required.
Two (2) years' of experience in administrative support with an emphasis on finance, accounting, and customer service.
Possession of or the ability to readily obtain a specialty certification through the Government Finance Officers Association.
