About the Department
Under direct supervision, the Office Assistant performs a wide variety of general office support activities for a City department. The Office Assistant answers phones and takes accurate messages; provides professional customer service; sorts, files, logs, and maintains records, mail, and other documents; prepares correspondence and reports; and performs other clerical office support duties as assigned.
Position Duties
- Provides general clerical, office support, and customer service duties for an assigned department or division; assists with routine front office inquires and requests from the public; and provides information and assistance regarding departments programs, services, and activities.
- Receives and screens calls, takes messages, and provides information on City policies and procedures; greets and directs visitors and staff members to appropriate personnel or department.
- Types, formats, edits, proofreads, prints, sorts, process and distributes a variety of routine reports, flyers, correspondence, memorandums, charts, records, forms, ordinances, resolutions, and other documents.
- Prepares, accepts, sorts, opens, and delivers incoming and outgoing mail and packages; assembles and distributes documents and ensures information is accurate and complete.
- Schedules, coordinates and registers staff for meetings, conferences, and trainings; assists with preparation of travel arrangements and itineraries.
- Maintains and organizes file system of various records and documents; locates materials and information in records as required; sets up and organize files for destruction based on City policy and retention schedule.
- Operates automated systems or other standard department-specific office machines and equipment.
- Performs general data entry and verifies accuracy of invoices, statements, and purchase orders; processes; invoices and payables for assigned department; orders supplies, equipment, and maintains inventory; may assist with collecting timesheets, attendance and leave records.
- Performs other related duties as needed or assigned
Minimum Qualifications
High School Diploma, GED, or its equivalent AND two (2) years of increasingly responsible clerical and/or administrative support experience working in an office environment with public contact. An associate degree is desired. State of California issued Class C driver’s license and CPR/AED/First Aid Certificate may be required.

Candidates chosen to fill vacancies will be required to pass a physical examination (which includes a drug/alcohol test) and a background investigation (which includes fingerprinting). Candidates must be able to provide documentation which authorizes their legal right to work in the United States in compliance with the Immigration Reform and Control Act of 1986 upon hire. Employees chosen to fill a vacancy must serve a 12-month probationary period and can be released from service with or without cause during the probationary period.
