About the Department

The City of La Habra is recruiting to fill the position of Part-time Clerk in the Community Services Department. This is a part-time position working approximately 28 hours per week. Hours may vary between 8:00 a.m. and 8:00 p.m. Monday through Friday, with staff available to provide services for all hours of operations. Some weekends and after-hours work may be required.

ABOUT THE POSITION:

Under general supervision, the Part-time Clerk provides clerical support to the Child Development Division within the Community Services Department; performs clerical duties including record keeping, typing, filing, making copies, computer data input; assists and directs the public in person and over the telephone; assists with recruitment of participants; and performs other duties as assigned. 

Position Duties

(Duties may include, but are not limited to the following:

  • Performs general clerical duties. 
  • Provides staff assistance on a variety of assignments. 
  • Processes confidential information and documents. 
  • Maintains files and records. 
  • Answers office phone and directs calls or inquiries.
  • Assists public over telephone. 
  • Complete data entry.
  • Creates and maintains division files.
  • Sorts and distributes mail. 
  • Performs other related duties as required.

Minimum Qualifications

Knowledge of:

  • Personal computer, other standard office equipment and software applications used by assigned department. 
  • Office practices, procedures, and equipment.
  • Telephone etiquette and principles of effective public relations.
  • English grammar, punctuation, and spelling.
  • Effective record keeping applicable to the maintenance of a variety of administrative, personnel, payroll, statistical and financial records.

Skill and Ability to:

  • Read, write, and communicate clearly and effectively in person and over the phone. 
  • Operate modern office equipment including computer equipment and applications, such as Microsoft Office, including Word, Excel, Access and PowerPoint. 
  • Deal with and maintain confidential information.  
  • Work with a diverse customer base. 
  • Maintain, classify, and interpret a variety of information. 
  • Work independently and proof own work. 
  • Establish and maintain effective relationships with others. 
  • Communicate effectively with the public and co-workers by providing excellent customer service to all those contacted in the course of performing job duties. 

SPECIAL REQUIREMENT:

Some weekend and after-hours work may be required. 

TRAINING AND EXPERIENCE:

Experience and/or education providing the qualifying knowledge, skills, and abilities. Bilingual (English/Spanish) is desirable.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT:

Hand-eye coordination is necessary to operate various pieces of office equipment. Specific vision abilities required by this job include vision and the ability to adjust focus. While performing the duties of this job, the employee is occasionally required to:

  • Stand, walk, sit, stoop, kneel, crouch and crawl.
  • Climb, balance, bend, twist and reach.
  • Feel, talk and hear (normal range in normal office environment, corrected or uncorrected).
  • Lift, carry, push/pull up to 25 pounds.
  • Work under time pressures such as frequent "rush" jobs, urgent deadlines etc.
  • Work under distractions such as telephone calls emails and other disturbances.
  • Perform repetitive activities (calculating, keyboarding and writing).

WORK DEMANDS:

  • Work is primarily performed in an office setting. 
  • The employee is occasionally required to encounter unpleasant social situations (i.e. dealing with irate or disturbed individuals).

SPECIAL CONDITIONS

Public Employee Disaster Service Worker: In accordance with Government Code Section 3100, all La Habra city employees are required to perform assigned disaster service worker duties in the event of an emergency or a disaster.
