The Human Resources Department is seeking a detail-oriented and customer-focused professional to join the Pre-Employment Services Section (PES) . This position plays a critical role in supporting citywide drug testing operations and ensuring compliance with local, state, and federal requirements.
The selected candidate will coordinate and schedule drug testing appointments citywide and serve as a liaison between departments, clinics, and Drug Testing Coordinators.
DESCRIPTION OF DUTIES / ESSENTIAL FUNCTIONS
Provides support to various HR divisions and client departments by coordinating drug testing activities and responding to operational needs in a timely and professional manner.
Responsibilities include:
- Maintain and monitor the division’s drug testing log to ensure records are accurate, complete, and updated timely.
- Coordinate and schedule drug testing appointments citywide for candidates and employees.
- Serve as the primary point of contact for managers and supervisors regarding drug testing questions, scheduling requests, and urgent concerns.
- Complete, review, audit, submit, and post drug testing results in accordance with established guidelines and procedures.
- Deliver excellent customer service to internal and external clients while maintaining a high level of confidentiality and professionalism.
- Ensure compliance with departmental procedures, City policies, and applicable local, state, and federal regulations.
- Drafts correspondence, reports and other documents; proofs/edits documents for accuracy, content, and format.
- Performs other duties as assigned.
WORKING CONDITIONS
There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions.

EDUCATION REQUIREMENTS
Requires a Bachelor’s degree in Business Administration, Liberal Arts, or a related field.
EXPERIENCE REQUIREMENTS
One year of administrative experience is required.
Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.

Minimum Qualifications
Preference will be given to candidates who have:
- Experience coordinating schedules, appointments, or high-volume processes
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Experience maintaining confidential information and records.
- Strong written and verbal communication skills
- Proficiency in Microsoft Office, Excel, and database tracking systems.
- Experience working in human resources, healthcare administration, onboarding, or compliance-related functions is preferred
- Ability to work independently and collaboratively in a fast-paced environment
