This role creates engaging experiences for older and active adults through trips, enrichment classes, wellness programs, and special events. You’ll lead group travel from start to finish—building itineraries, coordinating vendors, negotiating contracts, and ensuring participant safety—while also supporting daily social and drop-in programming.

You’ll keep programs running smoothly behind the scenes by maintaining accurate data in RecTrac, supporting reporting and reimbursements for insurance-based fitness programs, and ensuring details are organized and up to date. You’ll also build strong partnerships with internal teams, community providers, and contracted vendors, while occasionally transporting participants in a 15-passenger bus.

Position Duties

  • Plans, coordinates, and implements a comprehensive portfolio of programs, classes, trips, and special events for older and active adults, ensuring offerings align with participant needs and organizational goals and resources.

  • Manages all aspects of group travel programs (approximately 120 annually), including vendor selection, contract negotiation, itinerary development, logistics coordination, and participant safety oversight.(50% of position)

  • Enters, maintains, and audits accurate program, class, and trip information within the RecTrac registration system, ensuring data integrity for registration, reporting, and participant communication.(10%)

  • Oversees and facilitates daily on-site programming, including drop-in activities and social groups, ensuring a safe, welcoming, and engaging environment for participants.(15%)

  • Monitors program quality and participation, evaluates outcomes, and implements improvements based on data, feedback, and observed community needs.

  • Administers insurance-based fitness programs (e.g., SilverSneakers), including attendance tracking, documentation, and timely submission of reimbursement reports in accordance with program requirements.(10%)

  • Builds and maintains collaborative relationships with internal departments, community organizations, and private vendors; coordinates contracted services and ensures compliance with agreements and service expectations.(10%)

  • Provides transportation for program participants as needed, including safely operating a 15-passenger bus and ensuring adherence to safety protocols and licensing requirements.(5%)



The Ideal Candidate

  • Highly organized and detail-oriented, with the ability to manage multiple trips, programs, and logistics simultaneously while ensuring nothing falls through the cracks

  • Warm, engaging, and service-driven, with a genuine passion for working with older adults and the ability to build meaningful, respectful relationships

  • Collaborative and confident communicator, who works well across teams, maintains positive relationships, and can set clear, kind boundaries when needed

Minimum Qualifications

Education

  • Bachelor’s Degree from an accredited college or university in Gerontology, Therapeutic Recreation, Aging Studies, Human Services, Health Care Administration or a closely related degree - required. 

Experience

  • 2 years experience in recreation programming, older adult programming or a closely related field - required.

  • Experience with older adult  trips and tours strongly preferred.


Years of related experience may be substituted for required education, however education cannot be substituted for the necessary work experience. Candidates must meet the minimum required years of work experience.


NECESSARY SPECIAL REQUIREMENTS: 

New hires must, as a condition of employment, pass the following pre-offer and post-offer/hire processes: in-person or virtual interviews, reference checks, CAPS check, background checks, which may include local police check and sex-offender registry.

If this position is required to drive a CCOB vehicle a DMV check will be required. 

  • Must be 21 years of age or older

  • Must possess and maintain a valid driver’s license and safe driving record for continued employment

  • Must possess valid AED, First Aid and CPR certifications within 30 days of hire
