About the Department

The Supervisor of Elections Office is seeking a dedicated and detail-oriented professional to join our team for an exciting career opportunity. This position plays a critical role in election preparation and support, with responsibilities in warehouse inventory management, logistics coordination, operational planning and GIS Mapping. Includes varied tasks requiring strong organizational skills and the ability to multi-task and focus on details and deadlines.  Applicants must have solid working knowledge of computers/software and be proficient in Microsoft Office Suite. Must be self-motivated with the ability to work independently as well as in a team. Must be available to report to the office outside of normal business hours in the event of an emergency or otherwise urgent matter.

Please Note: The starting pay range is $17.00 to $22.00 per hour, with the exact rate determined by experience.

Position Duties

  • Coordinate precinct rentals and maintain ongoing working relationships with contacts for early vote and precinct locations.
  • Maintain, organize, and prepare the warehouse for elections, including packing Early Voting and Election Day supplies.
  • Coordinate precinct rentals and maintain ongoing working relationships with precinct and early vote location contacts.
  • Responsible for logistics of early vote and precinct locations, including, but not limited to, access, set up and tear down.
  • Complete ADA surveys for all early vote and precinct locations.
  • Oversee logistics for Early Voting and precinct locations, including access, setup, and teardown of sites.
  • Monitor and maintain warehouse and precinct supply inventory levels to ensure readiness.
  • Coordinate document archiving and maintain GS1/GS3 schedules for all Supervisor of Elections records.
  • During elections, create and coordinate schedules for part-time staff for equipment delivery/pickup and provide the necessary training.
  • Develop and maintain Warehouse Standard Operating Procedures to ensure consistency and efficiency.
  • Develop and manage the warehouse budget.
  • Key management & access control for precinct buildings. 
  • Help with setup and teardown of events in the office. 
  • Receive and process warehouse deliveries. 
  • Contribute to the preparation and testing of election equipment, including precinct tabulations units, ballot marking devices, and jump drives. 
  • Provide help with the administration and tracking of tagged asset equipment. 
  • Participate in tabulation operations during election cycles as needed. 
  • Take part in Logic & Accuracy testing by preparing materials and helping facilitate test procedures. 
  • Contribute to canvassing, auditing, and post-election verification activities. 
  • Aid in precinct and Early Voting site setup/teardown by coordinating materials and onsite arrangements. 
  • Collaborate on GIS mapping tasks, including updates to streets, precincts, and boundary information. 
  • Carry out mail pickup and drop off when required. 
  • Support petition verification and related customer service interactions. 
  • Assist with poll worker training logistics, including preparation, setup, signage, and facility access. 
  • Help coordinate routine and emergency building maintenance, which may include work outside normal business hours. 
  • Contribute to electronic pollbook setup, staging, and preparation. 
  • Provide logistical support for poll worker training sessions and class setups.
  • Assist with voter outreach outside the office as needed, including some nights and weekends. 
  • Familiarize self with current Election Laws, Rules, Forms, SOE Resources, procedures, and processes.
  • Assist the Supervisor of Elections in special projects and special assignments. 
  • Perform other duties as required.

Minimum Qualifications

Education, Training, and Experience

  • Associate degree or higher from an accredited school, or applicable technical certifications.
  • OR: Two (2) or more years of progressively responsible relevant experience and/or any equivalent.
  • A combination of education, experience and/or training that provides the required knowledge, skills, and abilities may be substituted for the minimum education requirement.
  • Requires an intermediate level of computer and technology skills.  

Knowledge, Abilities, and Skills

  • Must have strong working knowledge of computers and be proficient in the use of Microsoft Office Suite of products (i.e., Outlook, Word, Excel, etc.).  
  • Effectively work with the public.
  • Effectively work in a team environment.
  • Attention to detail, organizational skills, and management of priorities.
  • Knowledge to understand and carry out oral and written instructions.
  • Ability to multi-task in a fast-paced environment.
  • Must be experienced in technology, standard computers, and other office equipment.
  • Ability to maintain courteous and effective relations with elected officials, staff, poll workers, vendors and the public.
  • Understand and implement Florida Statutes as they apply to election laws.

Other Minimum Requirements 

  • Must possess and maintain a FL driver’s license in good standing.
  • As this position has emergency management responsibilities, applicant must be able to report to work within 30 minutes should an emergency arise.

PHYSICAL REQUIREMENTS / WORK ENVIRONMENT

  • Must be able to work overtime as needed during an election cycle.
  • The job involves occasional lifting and carrying up to 50 pounds.
  • The job requires a combination of standing, walking, and sitting.
  • The job requires frequent bending, squatting, and balancing, and on occasion crawling, climbing, kneeling, throwing, twisting, and reaching above shoulders.
  • The job requires the completion of tasks that involve simple grasping and fine manual manipulation, pushing, pulling, operating foot controls/levers, and driving automotive equipment.
  • The job requires normal visual acuity and field of vision, depth perception and color vision, hearing, and speaking.
  • The job may require exposure to adverse and/or severe weather conditions.
