The Administrative Specialist (AS) serves as the central hub of our home office, providing essential clerical and administrative support while creating a welcoming, professional environment for all who interact with our agency. As the first point of contact, this role plays a key part in shaping the experience of employees, patients, caregivers, and referral partners.

Key Responsibilities
- Serve as the front desk receptionist, greeting visitors and managing all incoming office traffic
- Answer and route incoming calls, assisting callers with professionalism and efficiency
- Process incoming and outgoing mail, deliveries, and shipments
- Coordinate with vendors for office supplies and services
- Schedule travel arrangements including hotels, transportation, and meals as needed
- Maintain updated office contact lists and directories
- Assist with meeting coordination, events, and conferences
- Provide administrative and clerical support to leadership and marketing teams
- Order bereavement flowers/plants and assist with special requests
- Perform data entry and general computer support tasks
- Uphold confidentiality and ensure clear communication with patients, families, and team members
- Represent the agency with a positive, professional image at all times
Qualifications
- Education: High School Diploma required (some college preferred)
- Experience: At least 1 year of general office experience preferred
- Skills:
- Strong organizational and multitasking abilities
- Excellent interpersonal and customer service skills
- Basic computer proficiency (Microsoft Office and data entry)
- Knowledge of medical terminology is a plus
Additional Requirements
- Reliable transportation with valid driver’s license and current auto liability insurance
- Ability to work a flexible schedule, including extended hours when needed
