JOB TITLE: Donor Services Associate - Full time
DEPARTMENT: Development Department
FLSA STATUS: Exempt
JOB SUMMARY:
The Donor Services Associate is a key team member responsible for ensuring the accuracy, integrity, and reliability of the Chicago History Museum’s database of record, Altru. This position manages the timely and precise processing of gifts, memberships, and donor records in accordance with established accounting procedures, the Donor Bill of Rights, and institutional best practices. The Donor Services Associate supports donor stewardship through the preparation and distribution of acknowledgements and tax receipts, and partners with the Finance and Accounting Department to support monthly reconciliation activities. This role also contributes to data-informed fundraising and engagement efforts through the development of reports, queries, and targeted constituent lists. This position requires a high level of attention to detail, discretion, and a commitment to data integrity.
ESSENTIAL FUNCTIONS:
- Processesand recordsgifts,pledges,andmembershipsin Altru with a high degree of accuracy andtimeliness
- Maintainsand updatesconstituent records, ensuring completeness of demographic and biographical data
- Generatesroutine and ad hoc reports,includingbatch commitment and weekly gift reports
- Preparesand distributesdonor acknowledgementletters
- Recordsand maintainsdonor recognition preferences and ensuresadherence to those preferences
- Generatesdonor invoices and pledge reminders
- Performsfinancial adjustment to gift records
- Supportsmonthly reconciliation process
- Managesgift documentation by scanning, saving, and attaching supporting materials to constituent and gift records
- Completesmatching gift applications andrelated donor forms
- Communicateswith donors and members to resolvediscrepanciesor obtain required documentation related to gift processing
- Developsand executesdatabase queries and generatestargetedlists to supportdevelopment, membership, and institutional communications initiatives
- Contributesto ongoing data quality efforts and supportsdepartmental reporting and analysis needs
- Participatesin departmental projects andinitiatives asassigned
- Ability to lift, carry, and otherwise move objects weighing20lbs.

REPORTS TO: Director of Development
WORKING RELATIONSHIPS:
The Donor Services Associate for the Development Department works as part of a team consisting of the Vice President of External Engagement and Development, Director of Development, Major Gifts Officer, Institutional Giving Officer, Member Relations Manager, Development Operations Manager, Development Events Manager, and Development Coordinator. They work together to fulfill the goals, objectives, and metrics of the department, to build relationships with members, prospects, and donors to raise funds for the Museum’s general operating needs, exhibitions, collections, and other special projects and initiatives. The Donor Services Associate will have regular interaction with Finance and Accounting Department staff and other colleagues across the Museum, acting as a resource and contact to deliver quality service to all members and donors.
QUALIFICATIONS:
- High School Diploma orequivalentrequired;bachelor’sdegreepreferred
- Two-Threeyearsofexperience usingaCRM, preferably Altru
- Ability to work autonomously and as part of a team
- Ability to work with diverse departments and professionals
- Excellent attention to detail
- Strong organizational and time management skills
- Ability toexecutemultiple deadline-driven projects
- Excellentoral andwritten communication skills
- Advanced proficiency in Microsoft Wordand Excel
