JOB TITLE: Development Events Manager - Full time
DEPARTMENT: Development Department
FLSA STATUS: Exempt
JOB SUMMARY:
The Development Events Manager is an integral team member responsible for managing all aspects of events that advance the Museum’s mission and development goals. The primary responsibility of this position is to effectively plan, organize, promote, and strategize events to strengthen donor relationships and increase contributions to the Museum. The Development Events Manager oversees the execution of Development, External Partner, and Presidential events, as well as the programs and activities of the Museum’s two longstanding donor groups, the Guild and the Costume Council.
ESSENTIAL FUNCTIONS:
- Managealleventlogistics,includingtimelines, budgets,contracts,vendor relationships, and on-site execution.
- Createpromotional strategies andcommunicationsfor events.
- Coordinateinvitation and event related materialdesigns, in collaboration with event organizers and Communications and Marketing staff.
- Manage post-event evaluation, including budgetreconciliation, data tracking, andsupporter follow-up.
- Create andmaintaininstitutional event memos.
- Manage event registrationsand guest lists.
- Maintainaccuratedatabase records.
- Supervise event volunteers and interns.
- Solicit support from externalindividuals andorganizations in support of events.
- Supportauxiliaryboard meetings and provide administrative and logisticalassistanceto volunteer leadership and eventcommittees.
- Ability to lift, carry, and otherwise move objects weighing20lbs.
OTHER DUTIES:
- Assistswith departmental initiatives, particularly those related to fundraising and donor engagement.
- Performs otherduties as assigned.
REPORTS TO: Director of Development
WORKING RELATIONSHIPS:
The Development Events manager works as part of a team consisting of the Vice President of External Engagement and Development, Director of Development, Major Gifts Officer, Institutional Giving Officer, Member Relations Manager, Development Operations Manager, Development Coordinator, and Donor Services Associate. They work together to fulfill the goals, objectives, and metrics of the department, to build relationships with members, prospects, and donors to raise funds for the Museum’s general operating needs, exhibitions, collections, and other special projects and initiatives. The Development Events Manager will have regular interaction with Communications and Marketing staff, Properties staff, Special Events staff, Finance and Accounting Department staff other colleagues across the Museum, donor group program committees, and external event vendors, volunteers, and partners, acting as a resource and contact to deliver exceptional experiences for guests, supporters, and partners.
QUALIFICATIONS:
- Bachelor’sdegree
- Three-Fiveyearsofexperiencein event planning, preferably at a cultural institution
- ExperienceusingaCRM, preferably Altru
- Experiencewith e-communication software, preferably MailChimp
- Ability to work autonomously and as part of a team
- Ability to work with diverse departments and professionals
- Excellent attention to detail
- Strong organizational and time management skills
- Ability toexecutemultiple deadline-driven projects
- Excellentoral,written communication,and interpersonalskills
- Experience directing the work of volunteers and interns
- Advancedproficiencyin Microsoft Word, PowerPoint, andExcel
