Financial Planning Assistant:

We are seeking a dedicated and detail-oriented Financial Planning Assistant to join our team. In this role, you will play a crucial part in managing client information, facilitating annual reviews, and supporting Financial Planners with various administrative tasks. Your expertise in customer service and financial planning will ensure seamless operations and exceptional client experiences.

Key Responsibilities

  • Client Information Management: Accurately record and maintain client information using Intelligent Office (IO).
  • Task Management: Ensure timely updates and monitoring of tasks within IO.
  • Client Preparation: Prepare comprehensive pre-meeting packs for new clients.
  • Collaboration: Work closely with Financial Planners to draft client engagement letters.
  • Annual Reviews: Facilitate and complete annual reviews in coordination with Financial Planners.
  • New Business Processing: Handle the submission of new business applications.
  • Client Communication: Manage phone calls from clients and third-party providers, addressing inquiries and providing assistance.
  • Platform Management: Oversee platform-related tasks, including new business submissions, cash management, and fund switches.
  • Invoicing: Input client remuneration expectations into IO and generate invoices as needed.
  • Product Information: Gather product information and valuations from various provider websites.
  • Liaison: Communicate with life offices and IMS to gather relevant information.
  • Compliance: Submit Letters of Authority to Life Offices and complete Anti-Money Laundering (AML) checks, including recording client IDs and processing ID3 Global AML checks.
  • Document Management: Handle daily post, ensuring it is scanned and saved in client records.
  • Valuations: Retrieve client valuations from IO and Figaro.
  • Case Updates: Keep Financial Planners informed about the status of cases in the pipeline or being processed.
  • Report Coordination: Work with the Paraplanning/review team to ensure timely production of client reports and reviews.
  • Trusts and Claims: Manage Trusts and Death Claims.
  • AML Awareness: Promote awareness of Anti-Money Laundering Rules and ensure departmental compliance.

Experience

  • Previous experience in customer service and general office duties.
  • Minimum of 1-4 years in Financial Planning Support or at least 1 year as a trainee Financial Planning Assistant.

  • Excellent organisational and planning skills.
