We are seeking a detail-oriented and compassionate Psychiatric Scheduling Assistant to support our psychiatric services team in our outpatient behavioral health clinic at our Park St location. This role is responsible for coordinating patient scheduling, assisting with caseload management, and facilitating communication with external medical providers to ensure continuity of care. The ideal candidate is organized, professional, and comfortable working with individuals receiving mental health services.
Responsibilities:
- Schedule and coordinate psychiatric appointments for new and existing patients
- Support the Psychiatrist and Psychiatric Intake Coordinator with daily scheduling needs
- Maintain and organize provider caseloads, including identifying scheduling gaps and cleaning up outdated or inactive cases
- Coordinate communication and documentation with external medical providers, referral sources, and community partners
- Enter, update, and maintain accurate patient information within the Electronic Health Record (EHR) system
- Assist with intake and follow-up scheduling processes
- Monitor appointment confirmations, cancellations, and rescheduling requests
- Maintain confidentiality and compliance with HIPAA and organizational policies
Required:
- High school diploma or higher level of education
- Experience in administrative or office support roles
- Experience working with mental health populations or within a behavioral health setting
- Experience using Electronic Health Record (EHR) systems
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Excellent verbal and written communication skills
- Ability to maintain professionalism and confidentiality
Preferred:
- Associate’s or Bachelor’s degree in healthcare administration, psychology, social services, or a related field
- Prior experience in psychiatric, behavioral health, or medical scheduling
- Familiarity with insurance verification and referral coordination
Schedule:
Monday - Friday 9am-2pm
Pay range is $20-$24/hr based on experience
