Catholic Charities of Baltimore, Central Services is seeking a Leave and Disability Specialist to be responsible for the administration, coordination, and communication of all employee leave, disability, workers’ compensation, and workplace accommodation programs. This role ensures compliance with federal, state, and local regulations while delivering supportive, consistent, and employee-centered experience. The Specialist serves as a subject-matter expert for FMLA, Paid Parental Leave, STD/LTD, Workers’ Compensation, and accommodation requests (ADA, religious, and other protected accommodations). The work schedule is 37.5 hours per week with hybrid (3 days on site and 2 days remote) Monday - Friday 8:30 AM - 4:30 PM. 

JOB DUTIES & RESPONSIBILITIES:

  • Administers all employee leave programs, including FMLA, Paid Parental Leave (PPL), state-mandated leave, and organizational leave policies, ensuring accurate application of eligibility rules, timely approvals, and consistent employee experiences.
  • Leads the interactive process, including medical documentation review, assessment of reasonable accommodations, and coordination with supervisors to enable employees to perform essential job functions.
  • Manages the full leave lifecycle: intake, eligibility determination, documentation, designation, tracking, and return-to-work coordination, ensuring compliance, timely documentation, accurate tracking, and smooth reintegration of employees.
  • Serves as the primary point of contact for employees, supervisors, and HR partners regarding leave rights, responsibilities, and timelines, providing clear guidance on leave rights, responsibilities, and timelines to reduce confusion and risk.
  • Ensures accurate leave tracking and coordination with payroll, benefits, and timekeeping systems to support pay accuracy, benefits continuation, and audit readiness.
  • Coordinates Short-Term Disability (STD) and Long-Term Disability (LTD) claims with third-party administrators and carriers, driving timely claim decisions and minimizing employee disruption.
  • Manages all accommodation requests, including ADA, religious accommodations, pregnancy-related accommodations, and other legally protected requests to provide equitable, compliant, and timely responses.
  • Monitors claims status and communications for timely, accurate information flow between employees, managers, HR, and vendors.
  • Ensures compliance with applicable laws and regulations, including FMLA, ADA, PWFA, Title VII, Workers’ Compensation, and state/local leave laws, proactively mitigating legal and compliance risk.
  • Perform other duties as assigned.

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent experience.
  • Three (3) years of experience administering employee leave, disability, workers’ compensation, and accommodation.
  • Exceptional working knowledge of FMLA, ADA, STD/LTD, and Workers’ Compensation.
  • Experience working with third-party leave and disability administrators.

  • Requires proficiency in using computer systems and software necessary to perform position functions, including but not limited to, basic Windows PC, web browsing (i.e., Chrome, Internet Explorer, etc.), and Microsoft Outlook. Knowledge of other Microsoft Office applications, such as Word, Excel PowerPoint, Teams, and OneDrive required.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:

  • Remaining in a stationary position, which may involve standing or sitting for extended periods, as required to complete tasks or duties associated with the role.
  • Repetitive motions involving the wrists, hands, and/or fingers, including tasks such as typing, data entry, or handling small objects. These repetitive activities may occur throughout the workday and require attention to ergonomics to ensure comfort and minimize strain.
  • Adjusting or moving objects up to 15 pounds in all directions, which may include lifting, carrying, pushing, pulling, or repositioning items as necessary to perform job duties.
  • Engaging in communication with others to exchange information, which may involve speaking, listening, writing, or using electronic communication methods to ensure clear and effective understanding. This includes both verbal and non-verbal interactions with colleagues, clients, or external parties.
  • Assessing the accuracy, neatness, and completeness of assigned work to ensure it meets quality standards and adheres to established guidelines.
  • Hearing and vision abilities, with or without correction, sufficient to drive safely and effectively observe and communicate with others.
