Job Summary
We are seeking a highly organized and client-focused Case Manager with 2–3 years of experience in Australian migration. The successful candidate will be responsible for managing end-to-end visa application processes, providing expert guidance on documentation requirements, ensuring compliance with Australian immigration legislation, and delivering an exceptional client experience throughout the migration journey.
The Case Manager will work within strict timelines, liaise with clients, government authorities, skills assessment bodies, and other stakeholders, while maintaining the highest standards of accuracy, professionalism, and compliance. Each client must be treated individually, with migration solutions tailored to their specific circumstances.
Key Responsibilities
Client Consultation & Case Management
- Manage the complete lifecycle of Australian visa applications from onboarding through to lodgement and post-lodgement support.
- Conduct detailed client consultations (in person, virtually, or via telephone) to assess eligibility and recommend appropriate visa pathways.
- Provide clients with accurate advice and guidance on documentation requirements and visa application procedures.
- Develop personalized documentation plans based on each client's profile and migration objectives.
- Maintain regular communication with clients via email, telephone, and virtual meetings to provide updates and resolve queries.
- Coordinate translation services and other supporting documentation where required.
Visa Documentation & Compliance
- Prepare, review, verify, and organize all visa application documents to ensure completeness, accuracy, and compliance with Australian immigration requirements.
- Ensure all information provided by clients is accurate, authentic, and supported by appropriate evidence.
- Prepare supporting letters, statutory declarations, forms, submissions, and other required documentation.
- Monitor document validity, application deadlines, and government submission timelines.
- Maintain complete and organized case files in accordance with company policies and regulatory requirements.
- Prepare fee schedules and communicate application costs and government charges to clients.
Immigration Knowledge & Regulatory Compliance
- Maintain a strong understanding of Australian Migration legislation, visa regulations, and Department of Home Affairs policies.
- Stay updated on legislative changes, policy updates, processing requirements, and visa program amendments.
- Ensure all applications comply with Australian immigration legislation and internal quality standards.
- Identify risks, documentation gaps, and potential compliance issues before application submission.
- Escalate complex migration matters to Registered Migration Agents or senior consultants when appropriate.
Stakeholder & Authority Coordination
- Liaise with Australian government departments, embassies, consulates, skills assessment authorities, education providers, employers, and other relevant organizations.
- Coordinate with external stakeholders regarding client documentation, verification requests, and application progress.
- Respond promptly to requests for additional information from immigration authorities.
Operational Excellence
- Manage multiple visa applications simultaneously while consistently meeting deadlines.
- Maintain accurate client records, case notes, and application tracking systems.
- Ensure confidentiality of sensitive client information.
- Build and maintain strong professional relationships with clients, colleagues, and external stakeholders.
- Support process improvement initiatives and contribute to maintaining high service standards.
- Assist in training and mentoring junior staff or HR teams on immigration procedures and documentation requirements when required.
Required Skills & Competencies
- Strong understanding of Australian immigration legislation and visa processing requirements.
- Excellent knowledge of visa documentation for various visa subclasses and migration categories.

Qualifications & Experience
- Bachelor's degree in Business, Law, Management, Commerce, or a related discipline is preferred.
- 2–3 years of proven experience in Australian migration or immigration case management.
- Experience working with a migration consultancy, immigration law firm, or education consultancy specializing in Australian migration.
- Fluency in English is essential. Additional language skills are considered an advantage.
- Experience handling a broad range of Australian visa categories and documentation processes.
