Job description
We are searching for an experienced Payroll Specialist who is responsible for the timely and accurate processing of multi-state and/or multi-site payrolls for a diverse portfolio of clients. In a PEO environment, this role serves as a primary payroll point of contact for client administrators, requiring a blend of technical payroll expertise, regulatory knowledge, and high-touch customer service. The ideal candidate thrives in a high-volume setting, managing competing deadlines across various industries and pay frequencies. Responsible for both PEO and ASO clients.
General Information
- The Payroll Specialist position is a salaried, exempt, full-time and benefits eligible role.
- This position is remote or a combination of remote/office-based if you reside in greater Washington, D.C.
Major Responsibilities
- Prepare and process multiple payroll batches inclusive of benefit and wage adjustments.
- Audit payroll calculations to ensure the correct tax calculations are utilized.
- Perform data input and maintain strong prioritization and organizational skills and professional communications in all interactions.
- Work with multiple clients and vendors daily via email, phone and video meetings and provide excellent customer service.
- Research and complete weekly processing reports.
- Work with the Benefits Account Team to process and manage benefits as they relate to payroll.
- Provide guidance to clients and their employees regarding product and system offerings.
- Utilize problem resolution techniques to assist clients, internal and external partners, and make recommendations to team and management.
- Ensure compliance with all applicable state and federal regulations and laws as relates to the PEO and ASO agreement,
- Make and/or keep abreast of changes to client’s policies such as PTO accrual calculations and other facets within the employee handbooks and HRIS systems that impact payroll calculations.
- Maintain knowledge of all changes pertaining to various product offerings, regulatory changes, policy changes and industry developments to ensure compliance.
- Supports as needed with other human resources functions such as employee relations / compliance / recruitment & onboarding / training & development / etc.
- Perform special projects as requested by senior management.
Position requirements include:
- 5+ years of proven experience processing payroll across multiple states, including a strong understanding of varying state tax requirements, local withholdings, and labor laws.
- College degree, or combination of education and experience.
- Knowledge of various payroll frequencies, including weekly, bi-weekly, semi-monthly, and monthly cycles for both hourly and salaried employee populations.
- Demonstrated ability to manage competing deadlines and high-volume workloads with 100% accuracy.
- Experience with HRIS and payroll platforms. Advanced proficiency/technology skills in MS Office Suite.
- Excellent oral and written communication skills, including the ability to explain complex payroll and tax concepts to clients and employees in a clear, professional manner.

Preferred candidates will have any of the following:
- HRCI, PHR and/or SHRM HR certification credentials
- CPP or FPC certification credentials preferred
- Life and Health producer license preferred
- Paylocity experience preferred
- PEO experience
- Prior outsourced payroll experience
- Intermediate/Advanced Excel and reporting abilities
