ABOUT THE ROLE
We are a fast-growing C2C tech consulting firm specializing in placing highly skilled IT consultants with Tier-1 vendors and direct clients across the United States. As we scale, we are looking for a detail-oriented HR Coordinator to own our people operations, immigration compliance, and contract management functions end to end.
This is a multi-functional role sitting at the heart of our operational infrastructure. You will manage consultant onboarding and offboarding, immigration and visa compliance, post-placement compliance and documentation, internal HR operations, and all vendor and client contracts. This role requires someone who is highly organized, process-driven, and comfortable managing sensitive documentation across multiple functions simultaneously.
KEY RESPONSIBILITIES
Consultant Onboarding, Offboarding and Immigration Compliance
- Manage end-to-end consultant onboarding — collect and verify all documentation, process I-9, E-Verify, and background checks, and coordinate signed engagement agreements
- Track visa status for all consultants — H1B, OPT, CPT, GC, and US Citizens — including LCA filings, OPT/CPT training plans, and authorization periods; maintain a real-time immigration tracker and proactively flag expirations and compliance gaps
- Upon placement, initiate background checks, collect and share all required documentation with the client or vendor — MSA, SOW, resume, work authorization, BGC results, and client onboarding forms — and ensure all pre-start requirements are met before the consultant goes live
- Coordinate with immigration attorneys on complex visa cases, regulatory filings, and audit situations; stay current on US immigration regulations and communicate updates to leadership
- Manage offboarding — close all documentation, terminate agreements, meet compliance obligations, and archive end-of-engagement records
Contracts and Legal Coordination
- Manage all staffing contracts — MSA, SOW, NDA — including execution follow-up, expiration tracking, and renewal management; maintain a centralized repository with accurate statuses at all times
- Enforce a non-negotiable compliance checkpoint — no engagement begins without a fully executed agreement; collect and maintain vendor POs and rate confirmation letters for every active engagement
- Coordinate with legal counsel on contract review and dispute resolution; proactively flag risks and expiring agreements to the Senior Operations Manager ahead of deadlines
Internal HR Operations
- Maintain accurate employee and contractor records; prepare offer letters, appointment letters, and employment agreements for new hires
- Manage leave tracking, attendance, and HR policy documentation; administer and update the employee handbook as needed
- Support new team member onboarding — documentation, system access, and HR orientation; handle internal HR queries and escalate complex issues appropriately
- Support performance review processes by maintaining records and coordinating review schedules
Reporting and Compliance
- Produce regular compliance reports covering visa expirations, contract renewals, post-placement documentation status, and onboarding pipeline
- Maintain firm-wide audit readiness at all times — documentation organized, version-controlled, and accessible for vendor or client audit requests without delay
- Flag compliance risks, documentation gaps, and process failures to leadership immediately
WHAT WE ARE LOOKING FOR
- 3–5 years of experience in HR coordination, compliance, or operations in a US IT staffing or C2C environment
- Solid understanding of US visa categories — H1B, OPT, CPT, GC — with hands-on experience managing I-9, E-Verify, LCA filings, and immigration documentation processes
- Hands-on experience managing post-placement compliance workflows — background check coordination, document collection and sharing with clients and vendors, and pre-start onboarding compliance
- Experience managing staffing contracts — MSA, SOW, NDA — including execution follow-up, centralized repository maintenance, and vendor PO tracking
- Knowledge of US employment law basics as they apply to staffing and contractor engagements
- Experience maintaining audit-ready documentation for vendor or client compliance reviews
- Proficient in Microsoft Office Suite — particularly Excel for compliance tracking and Word for contract and document management; advanced Excel skills for building trackers and dashboards is a strong advantage
- Highly organized with exceptional attention to detail — able to manage multiple compliance functions simultaneously and prioritize effectively under competing deadlines
- Excellent written and verbal communication in English — professional and discreet with sensitive and confidential documentation at all times
- Prior experience in a combined HR, compliance, and contracts role in a C2C staffing firm is a strong advantage; familiarity with HRIS or ATS tools is a plus
