Key Responsibilities
I. Office Operations & Administrative Coordination (40%)
• Support the search and evaluation of suitable office locations in Mumbai, preferably in the Andheri or Powai areas, while ensuring alignment with the approved budget and assisting in lease discussions.
• Coordinate with external legal, compliance, and consulting partners for company registration procedures, including PAN, TAN, GST, and related statutory requirements.
• Oversee daily office administration activities such as vendor coordination, office procurement, utilities management, workspace setup, and operational support.
• Maintain organized records and ensure all invoices, receipts, and operational expenses are submitted accurately and on time to the Vietnam Finance team.
II. Business Coordination & Communication Support (40%)
• Coordinate travel arrangements and meeting schedules for overseas leadership members visiting India.
• Provide support in translation, written communication, and interpretation during meetings or business discussions when necessary.
• Prepare, organize, and follow up on business-related documents including contracts, proposals, reports, and after-sales documentation.
• Serve as a local coordination point for communication with partners, suppliers, and external stakeholders, including interpretation support between English and Hindi/local languages.
III. Importation & Logistics Coordination (20%)
• Coordinate with Customs House Agents (CHA) and logistics stakeholders to facilitate import clearance activities at ports or air cargo terminals.
• Review shipping and import documents such as invoices, packing lists, certificates of origin, and bills of lading to ensure compliance with local regulations.
• Assist the headquarters team in handling compliance procedures related to BIS certification and other regulatory requirements in India.
Qualifications
- Minimum 2–3 years of experience in Import–Export operations, or in Sales Operations/Administration, or Accounting.
- Knowledge of HS Codes, GST invoicing, and customs clearance procedures at Mumbai ports is a plus.
- Experience supporting foreign companies or working in an international environment is an advantage.
- Proficiency in English and Hindi (both written and spoken).
- Strong coordination, communication, and problem-solving skills.
- Detail-oriented, reliable, and able to work independently in a fast-paced setup environment.
