Role Overview
The Business Coordinator will play a pivotal role in bridging the gap between commercial operations, supply chain, and regulatory compliance. This position requires a proactive professional with a strong pharmaceutical background who will handle end-to-end purchase order (PO) processing, customer support, and ERP management, while assisting with crucial FDA and regulatory documentation. The ideal candidate will possess excellent project management skills to ensure seamless business workflows.
Key Responsibilities
1. Customer Support & Client Relations
- Serve as the primary point of contact for domestic and international clients regarding order status, logistics, and inquiries.
- Manage and resolve customer grievances or delays by coordinating internally with production, logistics, and quality teams.
- Maintain accurate records of client interactions, feedback, and service metrics.
2. PO Processing & Order Management
- Oversee the entire lifecycle of Purchase Orders (POs) from receipt and verification through to fulfillment and invoicing.
- Validate commercial terms, pricing, quantities, and delivery schedules against active client contracts.
- Coordinate with the warehouse and dispatch teams to ensure timely shipments and accurate documentation (Invoices, Packing Lists, Certificates of Analysis).
3. ERP System Management
- Maintain hands-on management of the company’s ERP system for all commercial operations.
- Ensure real-time data entry for order tracking, inventory levels, and client portfolios.
- Generate monthly sales, inventory, and order fulfillment reports from the ERP for management review.
4. FDA & Regulatory Compliance Support
- Assist the Regulatory Affairs team with documentation required for FDA compliance, import/export licenses, and country-specific registrations.
- Ensure all commercial and shipping documentation strictly adheres to current Good Manufacturing Practices (cGMP) and global pharma guidelines.
- Maintain audit-ready filing systems for product dossiers, certificates, and compliance paperwork.
5. Project Management & Cross-Functional Coordination
- Track project timelines for new product launches, batch distributions, or market expansions.
- Liaise between Business Development, Production, Quality Control, and Supply Chain departments to eliminate operational bottlenecks.
- Monitor KPIs for operational efficiency and suggest process improvements.
Job Requirements & Qualifications
- Education: Bachelor’s degree in Pharmacy (B.Pharm), Science (B.Sc.), Business Administration, or a related field.
- Experience: 2–5 years of hands-on experience in a business coordination, operations, or commercial role strictly within the pharmaceutical industry.
Technical Skills
- Proficiency in operating pharmaceutical ERP modules.
- Strong command of MS Office (especially advanced Excel for data tracking).
- Domain Knowledge: Solid understanding of pharmaceutical documentation, export/import processes, and basic FDA/regulatory frameworks.
Soft Skills
- Exceptional organizational and project management abilities, strong written and verbal communication, and a sharp eye for detail.
