1. ABOUT US
We are B2B garment and home textile manufacturer headquartered in Jaipur, Rajasthan. Our core capabilities span fabric dyeing, screen & digital printing, hand & machine embroidery, Cut-Make-Trim (CMT), and full-package garment manufacturing for international export markets across the USA, UK, Europe, Australia, and New Zealand.
We also operate two in-house consumer fashion labels - The Little Trunk (kidswear) and Crown of Poppies - active across Indian marketplaces including Myntra, Nykaa, Ajio, Flipkart, and FirstCry.
3. PURPOSE OF THE ROLE
The Executive Assistant exists to create one outcome: the Director must never have to chase information, follow up on pending tasks, or be blindsided by an operational issue that should have been handled. EA is the 'Systems Guardian' - the person who ensures the business runs on defined processes even when the Director is not present.
In a textile and garment manufacturing context, where deliverables are multi-stakeholder (buyers, merchandisers, production team, sampling team, logistics, accounts), the EA provides the connective tissue that keeps every function aligned with the Director's commitments and business priorities.
4. KEY RESPONSIBILITIES
A. Director's Calendar, Communication & Time Guard
• Own and manage the Director's daily, weekly, and monthly calendar-scheduling buyer calls, team
reviews, vendor meetings, and personal commitments with no conflicts
Act as the first point of contact for all inbound communication to the Director: screen emails, WhatsApp messages, calls, and visitor requests; prioritise and route appropriately. Prepare the Director's daily briefing note each morning: pending tasks, scheduled meetings, critical follow-ups, and one-line status updates on open items
• Maintain the Director's 'One Day a Week Review' - compile the weekly operations summary
document consolidating inputs from production, accounts, sales, and merchandising, so the weekly review is outcome-focused, not information-gathering
• Draft, proofread, and send correspondence on the Director's behalf: buyer emails, vendor
communications, LinkedIn posts, and internal communications
Protect the Director's 'deep work' hours ensure that no interruption reaches them during strategic
time blocks
B. KRA Tracking & Team Accountability
Maintain and update KRA (Key Result Area) scorecards for all direct reports and key team members

• Issue weekly KRA dashboards to the Director with RAG (Red-Amber-Green) status for each team
member's targets

Follow up with department heads on pending tasks and deadlines; escalate to the Director only when a
matter cannot be resolved at the functional level
• Maintain a Master Task Tracker across all open projects: buyer orders, sample development, export
shipments, marketplace listings, and marketing tasks
• Prepare MOM (Minutes of Meeting) for every internal review meeting and distribute within 24 hours;
track action items to closure
• Maintain a Commitment Register: every commitment made by the Director (to buyers, vendors, team,
or self) is logged, tracked, and closed on time
C. Operations Monitoring & Reporting
• Compile and present the weekly Business Dashboard to the Director covering: production output vs.
plan, pending orders, sample status, dispatch schedule, collections outstanding, and marketplace sales summary
• Monitor factory-level daily production reports and flag deviations vs. committed delivery timelines to
the Director
• Liaise with the accounts team to track receivables, advance payments from buyers, and vendor payment schedules maintain a Payment Tracker for the Director's weekly review • Coordinate with the digital/marketing team on SEO content calendar, website updates, and LinkedIn posting schedule
ensure tasks are on time and output is quality-checked before publishing • Maintain a Compliance and Certification Tracker: OEKO-TEX, GOTS, ZDHC, buyer compliance documents, and factory audit dates
D. Process Documentation & SOP Management (Core Requirement)
• Assist the Director in documenting Standard Operating Procedures (SOPs) for all recurring tasks EA
is the primary owner of the SOP library
• Create and maintain Flow Management Systems (FMS) for critical business processes: buyer onboarding, sample development cycle, order processing, dispatch, and collection. Identify any process gap where work is dependent on a single individual and bring it to the Director's attention for systemisation
• Maintain a Document Management System: all templates, formats, trackers, SOPs, and company
documents are catalogued, version-controlled, and accessible

Prepare checklist-based audit tools for recurring processes so any team member can execute the
task without needing to ask the Director
7. QUALIFICATIONS & EXPERIENCE
Minimum Educational Qualification
• Graduate in any discipline (Business Administration, Commerce, or Textile/Fashion Management
preferred)
Certification or training in business administration, executive support, or project coordination is an
advantage
Experience
Minimum 4 years of experience as Executive Assistant, Personal Assistant, Business Coordinator, or
Office Manager
• Prior experience in a manufacturing, export, textile, or fashion industry environment is strongly
preferred
• Candidates who have worked directly with a business owner or MD in a fast-paced SME context are
particularly suited to this role
8. SKILLS & COMPETENCIES
Excellent written and spoken English andHindi
Proficiency: MS Office (Excel, Word, PowerPoint) and Google Workspace
Strong command of WhatsApp Business,email management, and scheduling tools
• High accuracy in data entry, report preparation, and document formatting
• Proactive follow-up mindset acts without being reminded
Discretion and confidentiality as second nature
• Structured thinking: can manage multiple tasks with competing deadlines
• Calm under pressure; composed communication style
Experience with CRM tools or ERP systems used in garment/export businesses
• Understanding of textile manufacturing processes and terminology
