We are looking for a sharp, proactive, and hands-on Business Assistant to work directly with Founder & CEO. This is not a back-office role - you’ll be right in the thick of daily operations.
Key Responsibilities
- Set up, configure, and troubleshoot computer devices (desktops, laptops, printers, networking equipment) for clients’ employees — both on-site and remotely
- Manage and maintain client WordPress websites — updates, plugin management, content changes, backups, security patches, and performance optimization
- Manage and maintain client Shopify stores — product uploads, theme adjustments, app integrations, order management support, and troubleshooting
- Oversee VPS and server management for clients — monitoring uptime, handling configurations, SSL certificates, DNS management, and coordinating with hosting providers
- Handle email service setup and management for clients — creating accounts, configuring domains (SPF, DKIM, DMARC), troubleshooting delivery issues, and managing migrations
- Manage and optimize the CEO’s daily calendar, scheduling meetings, calls, and appointments with clients, partners, and internal teams
- Screen and prioritize emails, messages, and calls — drafting responses and flagging urgent matters
- Follow up with clients on payments, deliverables, feedback, and service renewals to maintain strong business relationships
- Assist in day-to-day business operations including vendor coordination, invoice follow-ups, and procurement of tools and services
- Track project timelines and deliverables across multiple client engagements, flagging risks or delays to the CEO
- Prepare presentations, reports, proposals, and briefs for client meetings and business reviews
- Handle confidential information with the highest level of discretion and professionalism
- Organize and maintain digital files, documents, contracts, and company records in an accessible system
- Assist with ad-hoc tasks and special projects as the business grows and evolves
Qualifications & Requirements
- Bachelor’s degree in IT, Computer Science, Business Administration, or a related field
- 1–3 years of experience in IT support, website management, or a business operations role (fresh graduates with strong technical aptitude will also be considered)
- Hands-on experience with WordPress (themes, plugins, updates, backups) and basic Shopify store management
- Familiarity with VPS/server environments, cPanel/Plesk, DNS management, and SSL configuration
- Understanding of email services — setup, domain configuration (SPF, DKIM, DMARC), and troubleshooting
- Comfortable setting up and troubleshooting computer hardware, software, printers, and networking devices
- Excellent written and verbal communication skills in English and Hindi (Gujarati is a plus)
- Strong proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office 365
- Exceptional organizational and time-management skills with the ability to juggle technical tasks and administrative duties simultaneously
- Professional demeanor with strong interpersonal skills and the ability to interact with clients at all levels
- Absolute discretion when handling sensitive client data, server credentials, and confidential business information
Preferred Skills
- Experience with cloud platforms (AWS, Google Cloud, Azure) or managed hosting environments
- Familiarity with project management tools like JIRA, Asana, Trello, or Monday.com
- Experience with CRM tools (HubSpot, Zoho, Salesforce)
- Basic knowledge of HTML/CSS for minor website edits and troubleshooting
- Understanding of invoicing, quotations, and business documentation
- Social media awareness and ability to assist with content coordination
