About The Role
We are seeking an experienced and detail-oriented Bookkeeper & Payroll Administrator to join our team remotely. This senior-level position requires a candidate who can independently manage the full spectrum of bookkeeping, payroll processing, and compliance activities specific to trucking and logistics operations within North America. The ideal candidate will possess deep expertise in trucking industry accounting practices, Canadian payroll, and relevant tax reporting requirements. This role is hands-on and operational, focusing on accuracy, accountability, and adherence to regulatory standards. The successful applicant will play a critical role in maintaining the financial health of our organization by ensuring precise record-keeping, timely payroll processing, and compliance with all applicable tax laws and regulations.
Qualifications
The ideal candidate will have a minimum of two years of relevant experience in bookkeeping and payroll within North American companies, specifically in the trucking or logistics sectors. Proficiency in QuickBooks Online is mandatory, with at least two years of hands-on experience. Candidates must demonstrate a solid understanding of trucking industry accounting practices, including fuel taxes, permits, equipment costs, depreciation, and maintenance expenses. Experience with Canadian payroll processing, including T4 preparation and CRA compliance, is essential. A strong grasp of GST/HST and IFTA reporting requirements is required, along with advanced Excel skills for data analysis and reporting. The ability to work independently with minimal supervision and a high level of accuracy is crucial for success in this role.
Responsibilities
- Manage the full-cycle bookkeeping processes for trucking and logistics operations, ensuring all financial records are accurate and up-to-date.
- Handle accounts payable and receivable, including fuel cards, toll payments, permits, and vendor transactions.
- Process Canadian payroll, including driver settlements, reimbursements, and T4 filings, ensuring compliance with CRA regulations.
- Prepare and file GST/HST returns and other CRA-related reports in a timely manner.
- Manage IFTA and provincial fuel tax reporting, maintaining compliance with regional regulations.
- Perform bank and credit card reconciliations to ensure consistency and accuracy of financial data.
- Track equipment-related expenses, including costs, depreciation, and maintenance activities.
- Prepare monthly financial statements such as profit and loss statements, balance sheets, and cash flow reports.
- Support year-end closing procedures and assist with audits, ensuring all documentation is complete and compliant.
