About The Role
We are seeking an experienced and detail-oriented Bookkeeper & Payroll Administrator to join our team. This senior-level role requires an individual with deep expertise in North American trucking accounting who can independently manage the full cycle of bookkeeping, payroll processing, and compliance activities. The ideal candidate will possess strong organizational skills, a proactive approach, and the ability to handle complex financial transactions within the trucking and logistics sectors. This is a hands-on position that does not involve supervisory responsibilities but demands a high level of accountability and precision in daily operations.
Qualifications
The successful candidate will meet the following qualifications:
- A minimum of 2+ years of bookkeeping experience with North American companies, specifically in Canada and the USA.
- Hands-on experience with QuickBooks Online for at least 2+ years, demonstrating proficiency in managing financial records.
- Direct experience in trucking or transportation accounting, understanding industry-specific financial practices and reporting.
- Proven expertise in Canadian payroll processing, including T4 preparation and CRA compliance.
- Strong knowledge of GST/HST and IFTA reporting requirements.
- Advanced skills in Microsoft Excel, including data analysis, pivot tables, and formula management.
- The ability to work independently with minimal supervision while maintaining accuracy and attention to detail.
Responsibilities
The core responsibilities of this role include:
- Managing the full cycle of bookkeeping for trucking and logistics operations, ensuring accurate and timely recording of financial transactions.
- Handling Accounts Payable & Accounts Receivable processes, including managing fuel cards, tolls, permits, vendor payments, and collections.
- Processing Canadian payroll, including driver settlements, reimbursements, and ensuring CRA compliance with T4 filings.
- Preparing and filing GST/HST and other CRA-related reports to ensure regulatory compliance and accurate tax reporting.
- Managing IFTA and provincial fuel tax reporting, maintaining compliance with applicable regulations.
- Performing bank and credit card reconciliations to ensure consistency and accuracy of financial data.
- Tracking equipment costs, depreciation, and maintenance expenses to provide comprehensive financial insights.
- Preparing monthly financial statements such as Profit & Loss statements, Balance Sheets, and Cash Flow reports.
- Supporting year-end closing procedures and assisting with audit preparations to ensure compliance and accuracy.
