About The Role
We are looking for an experienced Bookkeeper & Payroll Administrator to join our dynamic team. This senior-level role requires an individual who can independently oversee the full cycle of bookkeeping, payroll processing, and compliance management specific to trucking and logistics operations. The ideal candidate will possess a comprehensive understanding of North American trucking accounting practices, including Canadian and US tax regulations, fuel tax reporting, and payroll procedures. This is a hands-on position that demands meticulous attention to detail, accountability, and a proactive approach to managing financial records accurately and efficiently.
Qualifications
The successful candidate must meet the following qualifications:
- Minimum of 2+ years of bookkeeping experience with North American companies (Canada/USA).
- At least 2+ years of hands-on experience working with QuickBooks Online (mandatory).
- Direct experience in trucking or transportation accounting (mandatory).
- Proven expertise in Canadian payroll processes, including T4 preparation and CRA compliance.
- Strong understanding of GST/HST and IFTA reporting requirements.
- Advanced proficiency in Microsoft Excel and other relevant financial tools.
- Ability to work independently with minimal supervision, demonstrating strong organizational skills and accountability.
- Excellent communication skills in English, both spoken and written, to facilitate clear professional interactions with North American teams.
Responsibilities
The key responsibilities for this role include:
- Managing the full cycle of bookkeeping for trucking and logistics operations, ensuring accuracy and timeliness.
- Handling accounts payable and receivable, including fuel cards, tolls, permits, and vendor payments.
- Processing Canadian payroll, including driver settlements, reimbursements, and T4 filings, ensuring compliance with CRA standards.
- Preparing and filing GST/HST and other CRA-related reports to maintain regulatory compliance.
- Managing IFTA and provincial fuel tax reporting to ensure accurate tax submissions.
- Performing bank and credit card reconciliations to maintain accurate financial records.
- Tracking equipment costs, depreciation, and maintenance expenses to support financial analysis.
- Preparing monthly financial statements such as profit and loss statements, balance sheets, and cash flow reports.
- Supporting year-end closing procedures and assisting with audits to ensure compliance and accuracy.
