About The Role
We are seeking an experienced Bookkeeper & Payroll Administrator to join our team in a full-time, remote capacity. The ideal candidate will possess a deep understanding of North American trucking accounting practices and demonstrate the ability to independently manage comprehensive bookkeeping, payroll processing, and compliance tasks. This role requires meticulous attention to detail, accountability, and a proactive approach to managing financial operations within a logistics environment. The successful candidate will work closely with our finance team to ensure accurate record-keeping, timely payroll processing, and adherence to regulatory requirements.
Qualifications
The successful candidate will meet the following qualifications:
- Minimum of 2+ years of bookkeeping experience with North American companies, including Canada and the USA.
- At least 2+ years of hands-on experience with QuickBooks Online, which is mandatory.
- Direct experience in trucking or transportation accounting is essential.
- Proven expertise in Canadian payroll processing, including T4 preparation and CRA compliance.
- Strong understanding of GST/HST and IFTA reporting requirements.
- Advanced proficiency in Microsoft Excel for financial analysis and reporting.
- Ability to work independently with minimal supervision, demonstrating strong organizational skills.
- Excellent communication skills in English, both spoken and written, to facilitate clear and professional interactions within a North American team.
Responsibilities
The core responsibilities of this role include:
- Managing the full cycle of bookkeeping for trucking and logistics operations, ensuring accuracy and timeliness.
- Handling Accounts Payable and Accounts Receivable, including fuel cards, tolls, permits, and vendor payments.
- Processing Canadian payroll, including driver settlements, reimbursements, and compliance with CRA regulations.
- Preparing and filing GST/HST and other CRA-related reports to ensure regulatory compliance.
- Managing IFTA and provincial fuel tax reporting, ensuring timely submissions.
- Performing bank and credit card reconciliations to maintain accurate financial records.
- Tracking equipment costs, depreciation, and maintenance expenses to support financial analysis.
- Preparing monthly financial statements such as Profit & Loss, Balance Sheet, and Cash Flow statements.
- Supporting year-end closing processes and assisting with audit requirements to ensure compliance and accuracy.
