Role DescriptionWe are seeking a highly organized and proactive Billing & Dispatch Executive to join our manufacturing plant operations in Valsad. This role is pivotal in bridging the gap between production and delivery. You will be responsible for the entire billing cycle, from sales order entry to invoice generation, while simultaneously supervising the dispatch team to ensure products reach our customers on time.
The ideal candidate will be a detail-oriented professional capable of managing logistics in a fast-paced manufacturing environment, maintaining high ERP data accuracy, and coordinating effectively with transporters and internal departments.
Key Duties & Responsibilities1. Billing & Sales Order Management
- Accurately record customer sales orders and prepare daily dispatch slips.
- Handle the complete billing process, including the preparation of invoices and tax-compliant documentation.
- Ensure all financial data related to sales and shipping is maintained accurately within the company’s software.
2. Dispatch & Logistics Coordination
- Supervise daily routing and business activities of the dispatch team.
- Order vehicles from respective transporters/vehicle owners and ensure timely vehicle placement at the plant for scheduled dispatches.
- Monitor specific performance reports, including "Open Orders" and "Delivered vs. Planned," to ensure 100% delivery target achievement.
- Accurately trace and resolve issues regarding lost or delayed shipments.
3. ERP & Data Integrity
- Utilize ERP software to generate dispatch lists and manage new software entries.
- Audit dispatch entries in the ERP to identify and resolve duplicate, invalid, or cancelled orders.
- Ensure all data complies with company policies and ISO standards.
4. Leadership & Communication
- Provide clear work instructions and on-the-ground coaching to the immediate dispatch staff.
- Manage professional communication via phone and email with customers, suppliers, and transporters.
- Streamline logistics workflows to improve plant efficiency.
Required Candidate Profile- Education: Bachelor’s degree in Commerce (B.Com), Business Administration (BBA), or a related field.
- Experience: Previous experience in billing, logistics coordination, or dispatch management within a manufacturing or corrugated packaging environment is highly preferred.
- Technical Skills: Proficiency in ERP software and financial data management.
- Soft Skills: Strong organizational skills, high attention to detail, and the ability to work under pressure to meet daily shipping targets.
- Knowledge: Basic understanding of the corrugated packaging industry, inventory management, and regional transportation processes.
- Reliability: Must be comfortable working on-site at our Valsad manufacturing facility's office.
