Position Summary
The Office Administrator is responsible for managing daily office operations,
Key Responsibilities
Administrative Support
- Manage daily office operations and maintain organized records
- Assist in preparing estimates, service agreements, submittals, plans, and operation manuals
- Work closely to support New Construction, Service, and Install teams
Scheduling & Dispatch
- Handle emergency scheduling when needed
Customer Service
- Greet in-person office visits
Inventory & Coordination
- Assist with tracking parts, equipment, and office supplies
- Coordinate with vendors and suppliers
- Support technicians with job-related documentation
Culture
- Coordinate internal and external events such as lunches, training, trade shows, and recruiting events
- Advocate for and support a best-in-class company culture with local coworkers and coworkers in other locations
Qualifications
Required
- High school diploma or equivalent
- 2+ years of administrative or office experience
- Strong communication and organizational skills
- Ability to multitask in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
Preferred
- Familiarity with AI tools such as ChatGPT and Claude
- Experience in HVAC, construction, or service industry
- Familiarity with dispatching or CRM software (ServiceTitan)
- Basic knowledge of HVAC terminology and services

Salary/Compensation
- $20-$30 Hourly DOE
- Hours Monday-Friday 8 AM-4:30 PM
