Job Title: Bid Manager and Specialist – US Bids
Location: Noida / Sector 63 (or as specified)
Reports To: Bid Team Lead and US Manager

iPrime Services is the authorized Veoci partner for India and South Asia, delivering enterprise software solutions across aviation, business continuity management, and other critical operations sectors. Among our core activities, we provide bid preparation and management services for our US principals . This is a vital and very critical function and you will be a valued and critical member of the bid team.
Role Overview
We are seeking a detail-oriented Bid Specialist to manage the end-to-end bid and proposal process for our US-based opportunities. This role involves identifying relevant tenders and RFPs, coordinating cross-functional inputs, and producing high-quality, compliant, and persuasive bid submissions that position iPrime and Veoci competitively in the US market.
We are registered with many bid aggregators and received information form them on ongoing bids meeting our platform features and skill set. The submission requires inputs from multiple sources including finance , security , development , implementation etc and the whole bid has to be then put together and submitted online.
AI usage is increasing and we routinely us AI to match RFPs and our features set and further fetch details from a data bank to populate the requirements of the RFP.
Key Responsibilities
- Assist the Search Team to identify relevant RFPs, RFIs, and tenders from procurement portals and on the websites of a list of identified prospects and customers.
- Analyze bid requirements, eligibility criteria, and compliance checklists to assess fit and win probability
- Coordinate with sales, technical, and delivery teams to gather inputs for proposal content
- Draft, structure, and edit compelling proposal narratives, executive summaries, and technical responses
- Use AI tools to accelerate research, drafting, and content reuse across bids while ensuring accuracy and compliance
- Ensure all submissions meet formatting, documentation, and compliance requirements specific to US procurement standards
- Manage bid timelines, tracking key milestones and submission deadlines
- Maintain a repository of reusable content, past submissions, and win/loss documentation
- Collaborate with pricing/commercial teams to finalize cost proposals and terms
- Support pre-bid meeting with content and guidance as well as submit post-submission clarifications or client queries
- Continuously improve bid quality based on feedback
- Track and analyse Wins and Losses.
Required Qualifications
- Bachelor's degree in Business, Communications, English, or a related field
- Excellent academic track record; must have scored above 85% in Class 12 Boards (CBSE)
- Must be based in / from a metro city
- 2–5 years of experience in bid/proposal management, preferably with exposure to US government or enterprise procurement processes
- Excellent written English with strong editing and proofreading skills
- Familiarity with US RFP/RFI formats, compliance matrices, and procurement portals (e.g., SAM.gov, state/local portals)
- Strong project management skills with the ability to manage multiple deadlines simultaneously
- Proficiency in MS Office/Google Workspace; experience with proposal software is a plus
- Experience using AI-powered proposal or research tools in a bid/sales environment Working knowledge of AI tools (e.g., ChatGPT, Claude, Copilot) for drafting, research, and content optimization
Preferred Qualifications
- Experience in enterprise software, SaaS, or technology services bids
- Familiarity with sectors such as aviation, business continuity, public safety, or government services
- Prior experience working with or for US-based clients or principals
