PROJECT ADMINISTRATOR – PMO

The Project Administrator provides intermediate-level project coordination and procurement support, managing documentation, material workflows, and utility requisitions with increasing independence. This role supports project teams by ensuring accurate records, timely material processes, and effective communication with vendors, utilities, and internal stakeholders.


Key Responsibilities:

  • Coordinate and maintain project documentation, drawings, logs, submittals, and closeout materials.
  • Prepare material specification packages, assist with technical documentation, and support engineers with required project materials.
  • Request vendor quotes, manage pricing comparisons, coordinate purchasing information, and maintain procurement records.
  • Create, submit, and track Ameren Transmission and Distribution requisitions with minimal supervision, ensuring accuracy and timely follow-up.
  • Track and receive materials, verify packing lists, update material logs, and identify discrepancies or delays.
  • Support project scheduling, cost tracking updates, and routine administrative reporting.
  • Communicate project updates across internal teams, vendors, and utility contacts, ensuring timely information flow.
  • Apply established PMO processes and improve documentation or tracking workflows where beneficial.
Requirements

Education/Experience:

  • Associate or Bachelor’s degree in Business, Computer Studies, or related field preferred.
  • Typically, 2 or more years of experience in project administration or procurement support, ideally in engineering, utilities, or construction. Equivalent combinations of education, training, and practical experience may also be considered.
  • Experience with vendor quoting, procurement workflows, and utility requisition systems (preferably Ameren).

Skills:

  • Strong Microsoft Office skills and ability to learn project or procurement software.
  • Excellent organizational, communication, and data accuracy skills, with the ability to manage multiple tasks independently.
  • Effective communication with vendors, utilities, and project teams.
  • Proficient in material tracking, requisitions, and procurement workflows.
  • Detail-oriented with reliable data entry and record-keeping skills.
  • Comfortable using Microsoft Office and learning project management systems.
