Requirements
Service & Repair Administrative Assistant Qualifications
• Commercial roofing or construction industry experience (strongly preferred)
• Energy to bring to an amazing Team!
• Ability to follow and implement company rules, regulations, and guidelines 100% of the time, including counseling fellow Team Members on Benton Roofing’s policies, and assisting with compliance
• Be self-motivated in looking for continuous ways for process improvement, position/department improvement, and exercise tact when sharing improvement ideas with Leadership
• Have excellent verbal and written communication to manage sensitive situations and in general day-to-day interactions
• Ability to maintain consistent schedule, punctuality, and dependability
• Ability to work in a fast-paced environment through efficiently managing time and prioritizing tasks of competing importance, despite unexpected items occasionally popping up
• Strength in multi-tasking and demonstrated high-energy to get multiple things accomplished by deadlines
• Be comfortable with using technology as a regular workflow tool
• Have a Team spirit, a willingness to admit mistakes and learn from them, and a “can-do” attitude at all times
• Comfortable with undergoing a background check, Motor Vehicle Record check, and pre-employment/ongoing drug screens
Service & Repair Administrative Assistant Responsibilities
*Service & Repair Administrative Assistant within Benton Roofing’s Service & Repair Department responsibilities listed below are subject to change with additions and deletions as needed.
Service & Repair Department Customer Service
• Manage Service & Repair and Benton Roofing customer Intake Forms
• Field ALL Service & Repair incoming and follow-up calls
• Organize potential new customers by: adding all customer information to an Intake Forms, organizing and maintaining all digital customer files
• Help track billing information for all new/incoming customer calls through the Main Office, website, etc.
• Maintain accurate billing information for all new and existing S&R customers
• When necessary, confirm information on Intake Forms to keep records accurate and help with customer service
• Practice strong customer relationship-building from start to finish (new and existing)
• Show timely and professional communication from the first time we interact with customers all the way through project wrap-up (and beyond)
• Demonstrate top-notch/proactive communication through all phases of work being completed (keep customers in the loop at all times so they feel taken care of)
• (Not effective immediately) Actively/regularly use Benton Roofing’s Customer Relationship Management (CRM) software for all customer tracking (and through working with S&R Manager)
Benton Roofing Shop & Warehouse Coordination
• Get metal sheets from Shop & Warehouse
• Scan forms into appropriate digital project files to get set up for job costing
Confidence and Ability to Use Technology as a Normal Part of Workflow, including things like:
• CRM (Customer Relationship Management) Software
• Box
• Gmail
• Google Calendar
• doForms
Billing & Job Costing
• Ensure all Service & Repair field Team Member doForms are correct by checking for: accurate material lists and work performed documentation, checking "other materials" listed and make notes of costs using internal Shop Cost Spreadsheet, checking for correct date, billing address, and other necessary information (before sending to billing), confirming all doForm information daily by checking with Service & Repair Team and Manager
• For projects that have multiple doForms and billing documents/invoices, pull all documents with associated job costs together for review
• Track and improve upon any billing issues: understanding that incomplete/incorrect billing documents (i.e., repair bills & doForms) received by Billing will be kicked back to Service & Repair Administrative Assistant for full correction, helping correct consistent issues with incorrect billing documents by working with Service & Repair Manager, field Team Members, and Billing, helping remind Field Team Members to accurately do their piece in the Service & Repair billing process
• Initiate and complete any specific warranty processes with Benton Roofing vendors (ex. Specific warranty protocol/system for Carlisle SynTec)
Ongoing Training & Education
• Be willing to participate in administrative training on a consistent and as-needed basis
• Work with Billing to learn the billing/job costing side of Service & Repair to grow and improve current processes
• Professional & leadership development (online training and/or leadership reading)
Additional/Occasional Administrative Responsibilities
• Gather Certificates of Insurance
• Process/secure lien waivers
• Set up Schedule of Values
• Put together vendor packets
• Pull permits
• Take notes during Service & Repair Department Team meetings for documentation
• Assist with pulling together all paperwork or administrative needs for Departmental meetings
• Continue looking for ways to increase efficiency for Service & Repair Department, suggest improvements, work with overall Benton Roofing Team to enhance Department and company as a whole
