· Collaborate with Client Managers to maintain and update bidding and job tracking systems.
· Create and execute engagement letters based on input from Client Managers; send to clients with BBG payment instructions.
· Ensure timely collection of client retainers and monitor payment status.
· Assist with client management and communication with clients – manage in tandem with client manager regarding concerns, updates, reviews, comments, and bidding.
· Set up and maintain jobs in BBG Systems (Sessions & Box), including:
- Saving engagement letters and client documents.
- Logging ongoing communications and notifying appraisal teams.
- Updating job records with due dates, inspection dates, participant/transaction details, and delivery instructions.
· Send information requests to client contacts and coordinate with appraisal teams for responses.
· Coordinate inspections with client contacts and appraisal teams including third party inspections.
· Format appraisal reports to BBG standards, including exhibits, BBG Overview, Glossary, and Licensing & Qualifications.
· Generate client invoices and verify transaction accuracy. Manage transactions as new versions are added or delivered.
· Deliver draft and final reports to clients per delivery instructions.
· Coordinate with the corporate office to produce and deliver hard copy reports as requested.
· Work with Client Managers to track and maintain client revisions.
· Maintain client portal information systems including updated insurance policies, office addresses and appraiser licenses.
· Provide reliable support and coverage during PTO, workload surges, or staffing gaps.
Qualifications
· 2 - 5 years of relevant experience
· Proficiency in Word, Excel, and Outlook
· Excellent verbal and written communication
