Position Description:

Aurigo is seeking a skilled Proposal Content Specialist to join our dynamic proposal team. The Proposal Content Specialist will manage and curate content used in proposals, ensuring that all materials are accurate, up-to-date, and aligned with the company’s strategic vision. This role is essential in driving the consistency and quality of proposal submissions, enabling the team to respond effectively to RFPs, RFIs, and other business opportunities.

 

This individual contributor role will engage with subject matter experts and senior management to develop the content strategy and then leverage it to identify, collect, synthesize, organize, and manage organizational knowledge. The role involves conducting regular content audits to identify and develop plans to fill content gaps and share best practices across various topics. The role requires knowledge of Aurigo, its business offerings, taxonomy, and key stakeholders. 

To be successful as a Proposal Content Specialist, you should have a technical aptitude, excellent project management and communication skills, and experience working in deadline-driven, high-pressure environments, sometimes outside of standard business hours. You must also be extremely organized and detail-oriented.

 

RESPONSIBILITIES:


Content Management:

  • Develop, organize, and maintain a comprehensive content library, including boilerplate text, graphics, references, resumes, and other proposal-related materials.
  • Maintain a content review schedule and assign owners and reviewers to content in the library.
  • Regularly update and refresh content to reflect the latest company capabilities, facts/figures, achievements, products, and strategic messaging.
  • Implement best practices for content management and ensure compliance with organizational standards.

Quality Assurance:

  • Conduct thorough quality checks of all content to ensure it meets the highest standards of quality and relevance.
  • Monitor and enforce consistency in style, tone, and messaging across all proposal documents.
  • Implement feedback and best practices from post-submission debriefs to continuously improve content quality.

Knowledge Management:

  • Serve as a point of contact for proposal content, ensuring that team members can easily access and utilize the most relevant and effective materials. 
  • Collaborate with project stakeholders to identify critical knowledge gaps and develop strategies to address them.
  • Track and document content usage and success metrics to inform future content development.

Collaboration and Communication:

  • Work closely with cross-functional teams, including marketing, sales, product management, HR, professional services, cloud operations, finance, and other subject matter experts, to gather relevant content and insights.
  • Assist in managing proposal timelines, ensuring timely completion.
  • Facilitate regular meetings with the proposal team to discuss content needs, updates, and feedback.

Proposal Support:

  • Collaborate with proposal managers, subject matter experts, and technical writers to gather and incorporate content into proposals.
  • Customize and tailor content for specific proposals to effectively address client needs and requirements.
  • Review and edit proposal sections for clarity, consistency, and accuracy.
  • Assist the QA team as time permits.

Content Management Champion (Loopio):

  • Proficiency in a proposal management platform like Loopio, Qvidian, or Responsive: Extensive experience with Loopio or similar proposal management software, including content library management, workflow automation, and data analytics.
  • Content Management Expertise: Demonstrated ability to create, organize, and maintain content libraries within Loopio, ensuring that all information is current, accurate, and easily accessible for proposal development.
  • Training and Support: Experience in training and supporting team members in the effective use of Loopio, including best practices for content usage, response automation, and collaboration. Maintain knowledge of new product enhancements that impact the team’s usage of Loopio.  
  • Process Optimization: Ability to leverage Loopio’s features to streamline proposal development processes, reduce response times, and increase the quality of submissions.
  • Data-Driven Insights: Skilled in using Loopio’s analytics tools to track content performance, identify gaps, and make data-driven improvements to the proposal content.
  • Technical Proficiency: Strong technical aptitude to manage and troubleshoot Loopio configurations, integrations, and updates to ensure the system operates efficiently and meets the team’s needs. Able to research identified issues/trends that impact the team.

 

Required Skills and Experience:

  • Bachelor’s degree in English, Communications, Marketing, Business, or a related field.
  • 4+ years of experience in proposal writing, content management, or a similar role, preferably in the SaaS software or technology industry.
  • Possess strong writing, editing, and proofreading skills with an eye for detail.
  • Experience with content management systems and proposal automation tools.
  • Excellent communication and collaboration skills.
  • Advanced mastery of Microsoft Word, Excel, Adobe Acrobat, and SharePoint is preferred.
  • Familiarity with public sector procurement processes and RFP structures is preferred.
  • Strong analytical and problem-solving skills with the ability to think strategically and make data-driven decisions.
