SUMMARY DUTIES AND RESPONSIBILITIES


The Maintenance/Reliability Coordinator provides essential administrative and operational support to the Maintenance and Reliability department. This role is responsible for maintaining accurate records, coordinating work order and preventive maintenance (PM) schedules, processing purchasing transactions, and ensuring the efficient flow of information within the department. The ideal candidate brings hands-on experience with SAP PM or an equivalent Computerized Maintenance Management System (CMMS) and a strong understanding of maintenance operations in an industrial or manufacturing environment.

KEY RESPONSIBILITIES

Administrative Support

  • Serve as the primary administrative resource for the Maintenance & Reliability team
  • Prepare, distribute, and file maintenance reports, work orders, and departmental correspondence
  • Maintain organized filing systems for equipment records, warranties, vendor contacts, and compliance documentation
  • Assist in tracking key performance indicators (KPIs) and generating routine departmental reports
  • Support departmental communications, meeting coordination, and document management

Scheduling & Coordination

  • Coordinate and schedule preventive maintenance (PM) activities, inspections, and corrective work orders
  • Communicate planned maintenance schedules to operations, production, and other stakeholders to minimize downtime
  • Track work order status, priorities, and completion; follow up with technicians and supervisors as needed
  • Assist in resource scheduling, including contractor access coordination and parts availability confirmation
  • Maintain and update PM plan calendars and ensure tasks are assigned and completed on schedule

Data Entry & CMMS Management

  • Enter, update, and maintain accurate data within SAP PM or equivalent CMMS, including equipment master data, task lists, and maintenance history
  • Create and manage PM plans, maintenance notifications, and work orders within the CMMS
  • Generate CMMS reports on work order backlog, PM compliance, equipment history, and cost summaries
  • Ensure data integrity and completeness; conduct periodic audits of CMMS records
  • Assist in onboarding new equipment into the CMMS and updating asset hierarchies as needed

Purchasing & Inventory Support

  • Process purchase requisitions and purchase orders for maintenance parts, materials, and services
  • Coordinate with vendors and the procurement team to obtain quotes, confirm delivery timelines, and resolve discrepancies
  • Receive parts and materials; verify orders against purchase orders and update inventory records
  • Monitor parts inventory levels and initiate reorders to prevent stockouts for critical spares
  • Reconcile invoices and support accounts payable processing for maintenance-related expenditures


QUALIFICATIONS

      Required

  • High school diploma or GED required; Associate degree or vocational/technical certification preferred
  • 2+ years of administrative or clerical experience, preferably in a maintenance, manufacturing, or industrial environment
  • Demonstrated proficiency with SAP Plant Maintenance (SAP PM) or an equivalent CMMS platform (e.g., Maximo, eMaint, MP2, Infor EAM)
  • Hands-on experience creating and managing Preventive Maintenance (PM) plans within a CMMS
  • Strong data entry skills with high attention to detail and commitment to data accuracy
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); advanced Excel skills a plus
  • Solid organizational and time management skills; able to manage multiple priorities in a fast-paced environment
  • Clear written and verbal communication skills

      Preferred

  • Experience with SAP PM specifically, including work order management, task lists, functional locations, and equipment master records
  • Familiarity with MRO (maintenance, repair, and operations) purchasing processes
  • Understanding of reliability principles and maintenance best practices (e.g., PM optimization, predictive maintenance)
  • Experience working cross-functionally with operations, engineering, and procurement teams
  • Background in spare parts management or storeroom operations

  • Primarily office/desk environment within or adjacent to an industrial facility
  • May be required to occasionally access shop floor or warehouse areas (PPE will be provided)
  • Ability to sit for extended periods and work at a computer workstation
  • Occasional lifting of up to 25 lbs. (e.g., parts deliveries, filing boxes)



PRE-EMPLOYMENT:

  • Must successfully complete Atalco Gramercy’ s required drug screening and physical examination.
  • TWIC (Transportation Worker Identification Credential) required prior to offer acceptance; MSHA (Mine Safety and Health Administration) training to be completed upon hire.
